Salary: UH6 £32,296 with a potential to progress to £37,999pa by annual increments on achieving designated skills and experience

Annual Leave: 25 days plus standard public holidays and an additional 4 days including the closure of our office between Christmas and New Year

Location: De Havilland Campus, Hatfield

We are looking to recruit a Timetabling Officer with strong communication and team working skills, a dedication to providing outstanding customer service and proficient IT abilities. In this role, you will play a crucial part in the delivery of timetabling services in the University, contributing significantly to enhancing both the student and staff experience. We are looking for candidates who can demonstrate experience working effectively with a range stakeholders, a strong commitment to driving change and service improvement.

Main duties and responsibilities

As a Timetabling Officer with our Teaching Accommodation Service, your primary focus will be on managing and coordinating timetabling processes. This involves ensuring the implementation of agreed timetabling principles, establishing productive relationships with key contacts, and delivering timely and accurate timetables for students and staff.

You will participate in the review of business processes, producing valuable data and reports to inform decision making. Your role will involve promoting good practice, aligning with the university's strategic plan, and ensuring cost-effective resource utilisation.

Collaborating with colleagues in various areas, you will ensure all teaching and learning spaces are operational and fit for purpose, updating the timetabling system as necessary. You will also contribute to the efficient use of space to improve the student experience and support the University growth.

Skills and experience required

Good organisational skills are essential for successfully coordinating various parts of the timetabling process. This includes the ability to prioritise tasks, working independently as well as part of a team, and being solution focused.

Good communication skills are crucial for establishing and maintaining positive relationships with key stakeholders, including school contacts, professional services, and senior managers. Collaborating seamlessly with colleagues and providing clear guidance to users in the form of training, user guides, and support is integral to the role.

Technical proficiency in utilising various databases and systems is a key requirement. The Timetabling Officer should be adept at efficiently navigating systems (training on University systems will be provided) to ensure an end- to-end timetabling process and effective venue accommodation allocation. Additionally, analytical skills are essential for monitoring data, conducting analyses, and producing reports to contribute to the continuous improvement of business processes.

Flexibility and adaptability to team requirements are valuable attributes, given the varied demands of the role, especially during peak periods, such as the start of the academic year. Overall, a keen attention to detail, problem- solving capabilities, and a commitment to maintaining high service standards contribute to success in this integral role within the Teaching Accommodation Service.

Qualifications required

Hold a minimum of a degree (or equivalent qualification), or significant proven experience.

As part of our selection process, candidates will be asked to participate in a short exercise in addition to the interview. The exercise will last approximately 15 to 20 minutes
