Student Opportunities Administrator

Job Purpose

To provide effective and efficient administrative support to the newly developed Student Opportunities Team. Act as the first point of contact for direct communication between students, employers, and staff with the Student Opportunities Team. Manage and maintain the administrative processes relating to all on-campus and local off-campus internships, part time jobs and volunteering facilitated by the Student Opportunities Team.

Main Duties and Responsibilities

1. Act as the first point of contact for all initial enquiries received into the Student Opportunities Team from students, employers, staff and third parties. Respond effectively and escalate where appropriate.

2. Follow agreed end to end criteria to review and process all Student Opportunities and subsequent applications through our service system, Glasgow Careers.

3. Provide administrative support to the Student Opportunities Team for preparation of attendance at off-campus networking and marketing activities. To include the preparation of presentation slides and physical handling of marketing stands and material.

4. Support the set-up of, and attend, dedicated on-campus Student Opportunities events including pop-ups in high footfall areas, student and staff presentations, and careers fairs.

5. Liaise with the central Careers, Employability & Opportunity administration team to set-up and process allocated funding for internships and maintain accurate reporting of funding allocations.

6. Provide support to groups and meetings, including notetaking and minuting, and subsequent preparation of reports as appropriate.

7. Work closely with other members of the Careers, Employability & Opportunity team in the delivery of the above and undertake any other relevant and appropriate duties as directed by the Student Opportunities Manager or Head of Employer Engagement.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1 Either: Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role/via relevant work experience.

A2 Good working knowledge of MS Word, Outlook, and Excel including mail merging.

A3 Knowledge of databases.

Desirable:

B1 Knowledge of Target Connect.

B2 Knowledge of MyCampus.

B3 Knowledge of basic accounts.

Skills

Essential:

C1 Ability to communicate effectively with a wide range of people, clarify requirements and respond effectively to users' needs with a high level of customer service.

C2 Proven ability to work under pressure and to strict deadlines.

C3 Excellent organisational skills.

C4 Proven ability to use initiative and, where appropriate, provide guidance or refer issues timeously to aid resolution.

C5 Able to work autonomously as well as be an effective team member.

C6 Ability to pay attention to detail.

C8 Proven ability to demonstrate diplomacy, tact and discretion.

C9 Ability to prioritise workload.

Experience

Essential:

E1 Experience of providing administrative support.

E2 Experience of responding to customer enquiries.

E3 Experience of handling and processing large volumes of data.

Desirable:

F1 Experience working with students in an educational setting.

F2 Experience of Agresso.

Terms and Conditions

Salary will be Grade 4, £22,681 - £25,138 per annum.

This post is full time (35 hours p/w) and open ended.
