Job Purpose

To provide administration support specifically to assist in organising the wide variety of tasks and commitments attributable to the Student Listeners.

What is Student Listeners?

We train Students to offer peer to peer support through their volunteering activity in our listening service. The service consists of a strong volunteer base of students from across the University. They are supported by a team of counsellors and the Student Life Manager. We offer early intervention peer to peer support to students.

Who are we looking for?

We are looking for a friendly, efficient and organised administrator who can support the day-to-day functions of a small but busy team. You will ensure you have a good understanding of the annual calendar and the administrative functions that underpin the work we do dependent on the time of year. You will ensure that Student Experience underpins your approach and the support you provide for the team and the wider Student Listeners volunteer base.

Main Duties and Responsibilities

1. Responsible for the delivery of an efficient and effective administrative service to support the Student Listeners.

2. Deliver an excellent administration support to the Student Listener team, using knowledge and judgement to problem solve and resolve administrative challenges.

3. Organise in person and virtual spaces, including booking rooms and catering, arranging travel when necessary and booking speakers for information sessions.

4. Responsible for arranging purchases and liaising with suppliers and contractors for invoicing and payment via the Agresso finance system.

5. Ensure full compliance with University-wide policies and procedures, including in relation to the management of confidential information and personal data.

6. Provide note taking and preparation of minutes as appropriate.

7. Assist the Student Listener Trainers with management of the shared inboxes and student communication platforms (student newsletters, website updates, social media)

8. May be asked to Develop and format digital resources for these student communication platforms.

9. Will support trainers to liaise directly with student body in relation to service operation tasks.

10. Maintaining good working relationships and working closely with Student Life and Engagement team members.

11. Undertake any other relevant duties appropriate to the post/grade subsequently allocated by the Line Manager.

Knowledge, Qualifications, Skills and Experience

Knowledge, Qualifications

Essential

A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent, and experience of personal development in a similar role.

A2 Strong IT knowledge, including Microsoft Office, especially MS Word and Excel.

A3 Experience and confidence in using Social media platforms.

Desirable

B1 Knowledge of University systems, eg PIP, CMIS, MyCampus, Moodle, T4 software training.

B2 Knowledge and understanding of Higher Education structures, policy, practices and procedures.

B3 Knowledge of International Visa regulations and requirements.

B4 Experience using digital mediums e.g. video software to create promotional content.

D1 Ability to support formal meetings, including preparation of papers, meeting organisation, note taking and communication of actions.

Experience

Essential

E1 Relevant administrative experience, with evidence of progression and development gained through work in a busy office environment.

Desirable

F1 Experience of working in a Higher Education setting.

Terms and Conditions

Salary will be Grade 4, £23,581 - £26,038 per annum pro rata.

This post is part-time (17.5 hours per week, Tues, Wed 9-5 & Thurs 9-12:30 ), and open ended.
