  • About the Role This is an opportunity for an outstanding administrator, with experience in the higher education sector, to provide high quality administrative and operational support to the Dookie Campus within the School of Agriculture, Food and Ecosystem Sciences (SAFES).

    You will provide a range of administrative support and services to the School Operations Manager and School Operations Coordinator ensuring the smooth workflow of the office and School more broadly.

    The position plays a pivotal role in the support of a wide range of day-to-day operational activities including the provision of high-level administrative and finance support, managing inductions for visitors, organisation of School events, supporting committee meetings, management of the School's intranet and Sharepoint and providing general support associated with administration and teaching to the staff within the School.

    You must have a strong understanding of University administration, and demonstrated experience in a similar role.

    Responsibilities include:

  • Be the main point of contact in the office of the Campus Director ensuring that all enquiries from staff, students and visitors are dealt with in a professional and timely manner, including answering basic queries, providing accurate information, supporting shared mailboxes, and referring more complex matters as appropriate
  • Ensure efficient running of the day-to-day activities for the Dookie campus including, but not limited to, process-related administration including the coordination of consumables orders and deliveries and mail management
  • Manage transactional finance requests including invoice payment; PO creation; credit card payments; invoice creation; reimbursements
  • Establish and maintain effective filing and database systems for reporting and records management; develop effective tracking systems for recording, processing and follow up on ongoing requests
  • Provide support for nominated School committees including preparation of agendas, taking minutes and following up on actions required
  • Provide campus related assistance such as fleet vehicle oversight and backup support to the School Operations Manager and School Operations Coordinator and other members of the administrative support team
  • Who We Are Looking For Our ideal candidate is an experienced administrator with a demonstrated understanding of University administration.

    You will have excellent interpersonal and communication skills and the ability to liaise with a range of people internal and external to the University, and the ability to work with people from diverse cultural backgrounds.

    You will be self-motivated and flexible in responding to changing work priorities, with the capacity to work independently and as a member of a team. Experience supporting committees and an understanding of financial and administrative systems, particularly in a university environment will be highly regarded.

    You will also have:

  • A tertiary qualification or an equivalent combination of relevant experience and/or education/training
  • Experience in providing administrative/secretarial support
  • Excellent written and oral communication skills in order to provide accurate and informed advice
  • Outstanding computer skills, including the Microsoft Office suite
  • Exceptional organisational and time management skills, including demonstrated ability to prioritise tasks effectively
  • Demonstrated self-motivation and flexibility in responding to changing work priorities, with the capacity to work independently and as a member of a team
  • Desirable:

  • Knowledge of financial and administrative systems, particularly in a university environment
  • Experience in providing secretariat support to committees
