Job Purpose

To provide excellent and professional customer service as a first point of contact at the School's Reception and deliver comprehensive administrative support to a range of activities.

Main Duties and Responsibilities

1. Deliver high-quality customer service to support the reception function for the Adam Smith Business School to offer a professional welcome to all staff, students, and visitors in person, by phone or online.

2. To provide support for the School's Operations and Planning function including, but not limited to:

- booking of meeting rooms

- maintaining systems for managing space access, including security card use

- maintain supplies of stationery and paper as required to meet demand

- Assist with purchasing processes

3. To support the operation and the maintenance of the School's facilities by:

- Assist with facilities maintenance, including logging support calls

- Arrange maintenance of equipment belonging to the School, including reporting faults and ordering relevant items

- Liaise with Reach Out and Estates colleagues to ensure all School facilities are kept clean and well maintained

- Liaise with Reach Out and IT colleagues to ensure all School owned IT equipment is maintained and functioning

4. To provide support to the School's learning and teaching programmes by:

- Assist as required in dealing with student enquiries that come to Reception

- Direct students to the appropriate team or individual dependent on nature of enquiry

5. To provide administrative support to School colleagues more widely as required.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential: A1 Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualifications level 2 or 3) or equivalent, and experience of personal development in a similar role OR

A2 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.

Desirable:

B1 Knowledge of University IT systems, e.g. MyCampus, Moodle.

Skills

Essential: C1 Excellent customer service and interpersonal skills, featuring the ability to demonstrate tact, diplomacy, and discretion.

C2 Strong workload management and prioritisation skills. C3 Ability to work independently with minimal supervision.

C4 Ability to work effectively as part of a team.

Experience

Essential: E1 Relevant administrative and receptionist work experience with qualifications, or ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.

E2 Experience of working in a customer-focused environment and delivering and exceeding customer expectations.

Desirable:

F1 Experience of working in higher education setting and/or with students. F2 Experience of working in a multicultural environment.

Terms and Conditions

Salary will be Grade 4, £22,681 - £25,138 per annum.

This post is full time (35 hours per week) and open ended (permanent).
