Your role
This role provides administrative support to a project funded by RMIT Vietnam Strategic Innovation Challenge. Responsibilities include but are not restricted to: paperwork, administrative support for procedures within RMIT Vietnam and between RMIT Vietnam and relevant external parties, administrative support for meetings (may include meeting scheduling, secretarial support etc), contracting and procurements, designing & printing event materials, claims processing, travel arrangements, support in organizing research events and programs and tracking & accrual of expenses in line with the office budget. The officer may be required to support management of files, generating reports as required by the Principal Investigator. This role is expected to support Principal Investigators and the team members with their activities and to help in achieving efficiency in the processes, through a collegial attitude.

Key Accountabilities
Provide high quality support in administrative processes to ensure efficiency in the functioning of the project.
Follow University policy and work with relevant offices in RMIT Vietnam for contract preparation, negotiation, especially in facilitating contract negotiation and execution, consulting agreements.
Provide financial admin support including processing payments, monitoring research budgets, tracking expenditures, and assist in financial procedures with funding agencies and university management.
Assist in coordinating, organizing, and running research related and project events by supporting logistics,
catering, publicity, and invitations.
Manage and generate reports, as and when required.
Support in paperwork for various processes (including English-Vietnamese translation when required) and manage the documentation and filing of the same.
Contacting point, communicating and facilitating communication among stakeholders and team members.
Key Selection Criteria
Bachelor's Degree in a relevant discipline. Having a backgound in technology or having experience working in tech projects is preferable.
At least 1-year experience in similar position in administrative and procurement tasks.
Effective communication skills to be able to liaise internally and externally with potential candidates and vendors.
Well-developed planning, organizational, analytical and problem-solving skills; working independently, or as part of a team.
Attention to detail and accuracy and demonstrated experience in following protocols and procedures.
Be proactive in handling issues that raise and have a “can do” attitude.
Ability to understand complex information and act appropriately.
High level of proficiency in computer literacy skills, including but not limited to Microsoft Office 365 and Google apps

Contract duration: 03 months
Workload: Parttime (20 hours per week)

English Proficiency
English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS 5.5 (or equivalent Linguaskill 150).
