Neuroscience Academy Denmark (NAD) is looking for a Programme Coordinator. NAD is funded by the Lundbeck Foundation and is a nationally concerted effort involving the neuroscience research environments at the medical faculties of Aalborg University, Aarhus University, University of Southern Denmark, and University of Copenhagen. The neuroscience research environments based at the university hospitals and the Technical University of Denmark are also active partners of NAD.

NAD hosts a unique 4-year PhD programme enrolling 16 PhD Fellows annually. The NAD fellows will take part in a mandatory pre-PhD year, after which they will proceed to carry out their PhD.

The NAD Executive Office is based at the Department of Neuroscience, The Faculty of Health and Medical Sciences, University of Copenhagen, which will also be your workplace. The team is led by NAD's Executive Director and currently also consists of our Education Manager, Communication Officer, two part-time Programme Administrators and a Student Assistant.

About the position

The position has two main coordinating components, one revolving around internal coordination of the NAD PhD programme and Executive Office and the other focusing on coordination of events and meetings for the broader NAD community. You will be employed at the NAD Executive Office with reference to the Executive Director and will have close collaboration with all members of the NAD executive team.

You will have the main responsibility for ensuring smooth and efficient workflows and good communication between the central actors in NAD activities, e.g., you will have close contact with NAD Fellows and PI's about practical and administrative matters. You will also be responsible for organising workshops, symposia, and PhD courses in collaboration with the NAD Executive Office team members.

You should expect 10-15 travel days per year in connection with NAD activities, primarily within Denmark, but international travel may also be required.

Tasks include
  • Planning and organisation of all practical elements of NAD events, including registration flow, venue booking and travel arrangements
  • Responsibility for the practical day-to-day operations within NAD with an eye to optimising workflows
  • Coordinate NAD's many activities
  • Communication with NAD Fellows, PI's, and partner institutions
  • Assisting NAD's Executive Director with various ad hoc tasks in the daily operations
  • Qualifications
  • Preferably, you have an academic background and perhaps some experience with university administration
  • You have strong organisational skills, the ability to identify and address ineffective workflows and find enjoyment in seeing through a task from start to finish.
  • You are proactive and able to manage several tasks simultaneously with great attention to detail
  • You have experience organising and executing events
  • You have strong interpersonal and communication skills and can establish relations across different organisations
  • You thrive in a changeable and dynamic environment
  • You are fluent in Danish and English. Our work language within the NAD Executive Office is Danish, and our work language with the broader NAD community is always English
  • You must be solution-oriented and able to work independently

  • Terms of employment

    The position is fixed-term for one year with the possibility of extension. Work hours will be 30-37 hours/week after agreement. Starting date 1 May 2024 or as soon as possible. Salary, pension, and terms of employment will be in accordance with the agreement between the Danish Ministry of Finance and AC (the Danish Confederation of Professional Associations) as an academic employee. Depending on qualifications, a supplement may be negotiated.

    You will report to NAD Executive Director Nicolas Caesar Petersen.

    Place of employment

    Your workplace will be at NAD's Executive Office at the Department of Neuroscience, Blegdamsvej 3B, 2200 Copenhagen N.

    As a starting point, it is expected that you will work from our office in Copenhagen. Days working from home will be after agreement with NAD's Executive Director.
