About the Role

Under the supervision of the Youth Program Coordinator, the Program Administrator will assist with administrative tasks associated with the operations of the Youth Programming Department. Additionally, the Program Administrator will be responsible for database and records management.

This is a full-time on-campus, in-person position requiring a police information check with vulnerable sector search and Standard First Aid with CPR Level C.

Responsibilities
  • Act as the first point of contact for parents, campers, members of the public and staff.
  • Provide program information, answer inquiries and make recommendations via phone, email and in person.
  • Maintain excellent and prompt customer service on an ongoing basis and maximize customer satisfaction.
  • Assist in tracking registration, web content, social media, inventory, on and off campus bookings, meal plans, facility usage, bursary applications, and program schedules under the direction of the Youth Program Coordinator.
  • Work with internal administrative services to ensure effective and efficient program, and activity support.
  • Assist in database rollover and input appropriate camp fee structure for individual camp sessions and departmental records management.
  • Assist with staff recruitment and selections, including attending career fairs, reviewing resumes, scheduling and conducting interviews.
  • Collaborate to assess the feasibility and community need for new camp offerings through market research.
  • Source third party partners internally and externally and make recommendations to help support program delivery.
  • Work as part of a team to plan and execute training and orientation for 70+ employees and 20+ volunteers.
  • Support ongoing programming needs and create detailed lesson plans as directed by the Youth Program Coordinator.
  • Conduct annual assessments of course offerings as directed, write internal control reports and make recommendations for future programming.
  • Assist in implementation of marketing strategies, promotion, and organization of events.
  • Maintain accurate camp information and statistics as required for partner agencies, sponsors, and associations.
  • Ensure camp materials are not duplicated and that copyright laws are followed.
  • Compile information pertaining to children and youth programs via surveys and external market research as directed.
  • Perform risk assessments when necessary in conjunction with the Youth Program Coordinator and/or Manager.
  • Assist with program audits during peak seasons to strengthen programs and mitigate risks.
  • Review and revise training modules pertaining to risk and health & safety on an ongoing basis and make recommendations for improvements.
  • Qualifications
  • Two-year diploma from a university or equivalent
  • Experience combined with post-secondary education may be considered
  • Extensive knowledge and understanding of children and youth programs and delivery
  • 18 - 24 months of experience in camp programming, planning, and development, including:
  • excellent interpersonal communication skills
  • organization of detailed tasks
  • experience working with budgets
  • teaching or presentation experience would be an asset
  • supervisory experience would be an asset
  • Police information check with vulnerable sector search
  • Standard First Aid with CPR Level C
  • Work process, database and spreadsheet skills
  • Ability to work under pressure, independently, and as an effective team player
