Process Improvement Lead

Job Purpose

Reporting to the Head of Process Improvement and working in collaboration with the fellow members of the WCGT team, and project teams from across the University, the Process Improvement Lead will support the diagnostics and team engagement within improvement projects in flight that are designed to transform our staff and student experience through process improvement. Utilising their knowledge of process improvement techniques to help diagnose and design solutions that will improve our internal processes alongside our ways of working. The Process Improvement Lead will be able to work effectively as a part of the delivery team to embed improvements in processes and our ways of working that will deliver real benefits in terms of our user and/or staff experience and create value adding time for our teams.

Main Duties and Responsibilities

1. Lead the business/process improvement aspects of a range of transformation projects, using proven methodologies and techniques to design and deliver efficient, innovative and sustainable solutions that will contribute to the operational effectiveness of the University.

2. Lead business improvement meetings to ensure customer requirements are appropriately documented, facilitate discussion around potential areas for improvement and propose potential solutions to increase efficiency and/or effectiveness for the business area. This will involve understanding, influencing and coaching a range of colleagues at all levels.

3. Facilitate and drive reviews of existing processes and, through the use of business improvement methodologies, proactively and constructively challenge established practices and potential barriers to change.

4. Contribute to, and where appropriate take the lead in, the design and delivery of training and development for the University community to build process analysis and business improvement capability.

5. Contribute to the design, development and visualisation of associated business benefits achieved through the delivery of the transformation projects.

6. Contribute to the change management process through regular and informative communications with members of the Programme Team and key project stakeholders.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary professional knowledge and management skills in a similar or number of different specialist roles.

Or: Scottish Credit and Qualification Framework level 9,10 or 11 (Ordinary/Honours Degree, Post Graduate Qualification), or equivalent, including being professionally qualified in relevant discipline, with a broad range of professional experience in a management role(s).

A2 Demonstrable knowledge and understanding of process improvement tools and techniques including root cause problem solving, waste reduction tools, processes and concepts.

Desirable:

B1 Relevant Technical Process Improvement Qualifications (e.g. any level of Lean/Sigma Accreditation).

B2 Strong understanding of Higher Education organisations, purpose, infrastructure.

Skills

Essential:

C1 Effective communication and influencing skills, both verbal and written, to interact effectively with a range of internal clients - colleagues, line managers and collaborate effectively across diverse functional areas to communicate project information clearly and concisely.

C2 Highly credible with strong ability to influence and persuade senior management of appropriate courses of action that may have University wide implications.

C3 Excellent organisational and planning skills.

C4 Strong analytical abilities to logically assess data and apply effective evidence-based approaches to decision making.

C5 Proven ability to use judgment and initiative to resolve issues, maintain progress and drive project initiatives to conclusion.

C6 Knowledge of Microsoft Office tools - Word, Excel, Project, PowerPoint, Visio and other related software applications.

C7 Successful track record of relationship building and development skills across a wide range of internal stakeholders.

C8 Management report writing and data analysis.

C9 Successful track record of facilitation skills and practical application with both small teams.

Desirable:

D1 Data collation and or data mining skills.

D2 Change management skills.

Experience

Essential:

E1 Substantial professional experience at a senior level in private/public sector with a demonstrable track record in managing and delivery of significant business/process improvement projects to a clear and successful conclusion.

E2 Experience of managing significant relevant business change projects involving multiple stakeholders.

E3 Experience of working with significant teams containing experienced professionals.

E4 Significant experience of successful utilising multiple process improvement methodologies with proven benefits and impacts.

Desirable:

F1 Experience in working in Higher Education Sector.

F2 Commercial acumen including the development of business cases.

F3 Experience of effective project and programme communications.

Terms and Conditions

Salary will be Grade 8, £48,350 - £56,021 per annum.

This post is full time and open ended.
