The postholder will be responsible for on-boarding new learners for all health and social care by ensuring that mandatory clearance checks are completed in a timely manner and information is uploaded to placement management systems. The postholder will be responsible for retention of students by leading the implementation of our Interruption and Resumption Model across Health and Social Care. This work will include creating a track and trigger system for monitoring and reporting on learner retention. In addition to monitoring, the postholder will also be responsible for signposting to relevant services, meeting with learners to support them to remain on programme by creating new placement plans and supporting the transition of resuming learners back into practice. The postholder will be responsible for uniform ordering, distribution and allocation for all health and social care programmes.

    JOB DESCRIPTION

    Job Title: Practice Learning On-boarding and Retention Co-ordinator

    Faculty/Directorate: Institute of Health and Social Care

    Grade: E

    Location: Normally based at Uxbridge Campus, may be required to spend some time at the High Wycombe and Aylesbury campus

    Responsible to: Associate Professor Placements and Work Based Practice

    Job Purpose:

    To manage and co-ordinate the onboarding of new students/providers in health and social care progammes. The postholder will be responsible for uploading placement data to the In Place system, NMS database of placement information and liaise with a variety of stakeholders.

    The post holder will be responsible for sourcing clinical placement suppliers such as the uniform suppliers to ensure that health and social care students receive the appropriate uniform and in a timely manner.

    The postholder will be responsible for the management and delivery of support for at risk/resuming students in clinical practice.

    The postholder will be responsible for setting up a process for receiving and processing practice learning payments for health and social care students. This will include NHS Bursaries, Learning Support Fund Expenses and other expenses as required.

    The postholder will be responsible for processing resuming and interrupting students in relation to clinical practice learning and ensure that the policies and procedures are followed accordingly.

    The postholder must be flexible in delivering support to students, employer partners and academics, and be able to operate under pressure in a fast-moving and changing environment whilst contributing to a positive student experience.

    The purpose of the job description is to indicate the general level of responsibility: the duties may vary from time to time without changing their general character or level of responsibility. While working in a particular area of responsibility, the postholder should be prepared to provide support to other areas as and when required.

    Main Duties & Responsibilities of the role:

  • To lead and manage the sourcing of uniform suppliers, ordering, delivery, distribution and storage of health and social care uniforms for students and staff. This will involve being the main point of contact for suppliers, academics and students and involve uniform fittings, distribution of uniforms, stock taking, invoicing and delivery of uniforms to different campus sites.
  • To process, record and produce reports for quality assurance and auditing processes for student bursaries and Learning Support Fund claims.
  • To be the main point of contact for student and InPlace queries and to ensure that these are investigated and resolved in a timely manner.
  • To organise and prioritise own workload to ensure it is completed in the agreed timeframe and to the required standard.
  • To work effectively with Registry, Academics and students; and to be proactive in resolving queries related to new cohorts, resuming and withdrawing students.
  • To develop, monitor and report on a track and trigger system for learners at risk of failing clinical placements.
  • Contribute to the retention panel meetings for at risk/resuming learners and ensure action actions are duly followed and monitored regularly.
  • Liaise with Occupational Health for the at risk/resuming learners and support with reasonable adjustments in clinical practice.
  • To lead the interruption and resumption process for learners ensuring that the process is implemented, monitored and reviewed accordingly.
  • To lead the governance reporting for at risk/resuming learners in clinical practice and for university reporting to Boards and regulatory bodies.
  • To contact resuming learners to support transition back onto programme ensuring that placements and all relevant clearances have been completed and updated. This will include support once resumed to ensure that the learners is fully re-engaged with their clinical learning.
  • To plan and co-ordinate the placement allocation for resuming and withdrawing health and social care students and learners, through creating student plans and managing the NMS database and various spreadsheets for all clinical placement details.
  • To ensure that the overall placement planner is adhered to, with Business Partners informed of students' details at least two months in advance.
  • To lead on the on-boarding of new students/learners by ensuring that all clearance checks have been followed and results recorded accordingly for monitoring and quality assurance.
  • To be responsible for the on-boarding of new students and practice learning providers onto the In Place system and NMS database of placement information.
  • To produce governance and quality assurance reports for the Practice Learning Hub by sourcing and analysing data source from other departments within the university and externally from practice partners.
  • To have effective communication and maintain links with Business Partners, Clinical Managers, Supervisors / Assessors, Academic staff, Administrative staff and Students in relation to clinical placements via written correspondence, telephone, email or in person.
  • To lead the onboarding of resuming/withdrawal students by ensuring that the relevant procedures have been followed and that all parties (students and practice learning providers) are kept informed during the process.
  • To work with the Placement Officers to source practice learning placements for resuming students and working with practice learning providers and students to ensure that they all kept informed on the revised placement plans.
  • To contribute to the evidence base for practice learning experiences for students by identifying themes for interruption and/or withdrawal and working with the health Schools to develop action plans to reduce student/learner attrition rates.
  • Comply with the Data Protection Act 2018 and GDPR; Health and Safety; and Equality and Diversity requirements and legislation in all working practices.
  • To undertake any other reasonable duties deemed necessary by the Practice Learning lead or School Registrar (Practice Learning Hub), including assisting other administrative areas as required.
