PA to ASBS Senior Leadership Team

Job Purpose

In this role, you will provide a broad range of support services to the School Senior Leadership Team in the Adam Smith Business School. Working with others you will contribute to the achievement of the School's strategic objectives by delivering a proactive, efficient and flexible range of administrative activities.

Main Duties and Responsibilities

1. Responsible for the provision of administrative services to the School Senior Leadership Team in the Adam Smith Business School, including: diary and stakeholder management; travel and accommodation provision and activity planning.

2. Work proactively and confidently as a primary point of contact for the School Senior Leadership Team; filtering issues and seeking independent resolution as well as planning and prioritising work activities for weeks ahead and adjusting priorities as required.

3. Prepare documents, presentations and reports and coordinate professional communication on behalf of the School Senior Leadership Team and related internal and external customers.

4. Facilitate and co-ordinate meetings chaired by the School Senior Leadership Team.

5. Contribute to a culture of continuous improvement within the Team by suggesting service improvements and implementing new processes to enhance quality of service.

6. Use standard software packages including Microsoft Office, conducting analysis from relatively straightforward data where necessary.

7. Exercise initiative and judgement to deliver an agreed standard of quality customer service.

8. Provide support to the Head of School office as required.

9. Undertake other appropriate activities dependent on the needs of the School.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential :

A1 Ability to demonstrate the competencies required to undertake the duties associated with this post, having acquired the necessary knowledge and skills in a similar role, or: A Scottish Credit and Qualification Framework Level 7 (Advanced Higher / Scottish Vocational Qualification Level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.

Desirable :

B1 Knowledge of higher education policies and procedures.

Skills

Essential :

C1 Excellent communication and customer service skills, operating with diplomacy and discretion.

C2 The ability to plan, organise and prioritise effectively, delivering work to standard and within deadlines.

C3 The ability to respond to changes in demands and/or pressures.

C4 The ability to work both independently and flexibly as part of a high performing team.

C5 Excellent stakeholder management skills.

C6 Knowledge of current Microsoft Office suite programs/applications including Word, Excel, PowerPoint, Outlook and OneDrive.

Experience

Essential :

E1 Experience of providing administrative support to a senior stakeholder.

E2 Experience taking and delivering professional minutes for meetings.

E3 Experience of applying judgement, policies and procedures.

E4 Experience of working with a range of leaders across an industry/institution.

E5 Experience of using IT systems to improve processes or services.

Desirable :

F1 Experience of working in a higher educational environment.

F2 Experience of working developing internal communications frameworks.

Terms and Conditions

Salary will be Grade 5, £26,038 - £30,505 per annum pro rata.

This post is part-time (17.5 hours per week), and open ended (permanent).
