Job Purpose

To enhance the student experience by working collaboratively with the UG and PGT Administrative teams and academic teaching staff to provide an excellent customer service. To provide administrative support for the processes and procedures relating to taught programmes (UG and PGT). To support students from first point of contact to graduation, including providing information, advice and front-line support service to prospective, new and continuing students. To support academic staff and colleagues involved in taught programme teaching administration including the programme and course leaders.

Main Duties and Responsibilities

1. Contribute to the delivery of an efficient and effective administrative service to support the School's learning and teaching activity, including liaison with staff and students.

2. Deliver an excellent “customer experience”, using knowledge and judgement to provide first-contact resolution for general enquiries relating to learning and teaching activities across the School (with supervision and support where required).

3. Contribute to a culture of continuous improvement through identifying and supporting the implementation of process improvements to enhance the student and staff experience.

4. Provide administrative support to Programme and Course Leads in support of School activities, developing good relationships with colleagues.

5. Ensure full compliance with University-wide policies and procedures, including in relation to the management of confidential information and personal data.

6. Provide support to groups and committees including notetaking and preparation of minutes as appropriate.

7. Undertake any other relevant duties appropriate to the post/grade subsequently allocated by the Head of Professional Services.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1 SCQF Level 5 (HNC, VQ2, Highers, City & Guilds or equivalent), or ability to demonstrate the competencies required to undertake the duties associated with the level of post, having acquired the necessary knowledge and skills in a similar role

A2 Strong IT knowledge, including Microsoft Office, especially MS Word and Excel

Desirable:

B1 Knowledge of University systems, eg PIP, CMIS, MyCampus, Moodle, T4 software training

B2 Knowledge and understanding of Higher Education structures, policy, practices and procedures

Skills

Essential:

C1 Ability to understand and apply policies, regulations, guidelines and standard operating procedures relevant to the role

C2 Strong organisational and time management skills; ability to work under pressure and meet tight deadlines

C3 Accuracy and attention to detail

C4 Ability to respond and adapt to changing priorities

C5 Strong interpersonal skills, with the ability to work with a wide range of people

C6 Ability to work collaboratively to achieve team goals

C7 Strong communication skills, both verbal and written

C8 Confidence to identify when issues need to be escalated to appropriate levels

C9 Discretion and the ability to maintain confidentiality

Desirable:

D1 Ability to support formal meetings, including preparation of papers, meeting organisation, note taking and communication of actions

Experience

Essential:

E1 Relevant administrative experience, with evidence of progression and development gained through work in a busy office environment

Please note: This role is based in the College of Social Sciences and will initially be focused on providing administrative support for the School of Education. The focus of the role may change in future depending on the business needs of the School and College at that time. Please note that you may be required to work in a broadly similar role in a different area of the School or College, which helps to develop and distribute good practice across schools, as well as providing flexibility for the College. There will be no change to either the grade of the role or the broad skill and experience requirements.

Terms and Conditions

Salary will be Grade 4, £22,681 - £25,138 per annum.

This post is full time (35 hours per week) and open ended (permanent).
