Advertising/Posting Title Facilities Contract Administrator
Posting Summary UVM is recruiting for a Facilities Contract Administrator to provide oversight for contract procurement, contract administration, and associated business processes, as well as departmental and Facilities Management operational support as needed. This position serves as a key liaison among Facilities Management units, central business partners, contractors, consultants, and other campus stakeholders.

The position is responsible for administering service, maintenance, construction, and professional service contracts; overseeing departmental purchasing and associated financial processes; supporting budget development and financial reporting; coordinating project accounting activities; and leading continuous improvement of contractual structures that enhance operational effectiveness and customer service. This role promotes fiscal stewardship, regulatory compliance, environmental sustainability, social responsibility, and operational excellence while supporting the University’s strategic objectives.
Minimum Qualifications (or equivalent combination of education and experience)
  • Bachelor’s degree in business administration, public administration, supply chain/procurement, accounting, facilities management, construction management or related field and three years of relevant experience
  • Experience coordinating contracts, service agreements, procurement processes, projects or vendor relationships.
  • Demonstrated ability to interpret contract language, specifications, policies and financial information.
  • Experience preparing scopes, solicitation materials, evaluation documentation, requisitions, purchase orders or invoice reconciliations.
  • Strong analytical, writing, facilitation, organization and problem-solving skills.
  • Ability to manage numerous concurrent agreements and deadlines with a high degree of accuracy and discretion.

Desirable Qualifications
  • Public-university, government or other regulated public-sector contracting experience.
  • Experience with facilities operations contracts such as custodial, waste, grounds, snow, HVAC, elevators, life safety, controls, fleet, utilities or outsourced maintenance.
  • Experience with ERP, e-procurement, contract-lifecycle, IWMS/work-order, document-management and reporting systems.
  • Public procurement or contract-administration certification, or willingness to obtain an appropriate certification after hire.
  • Experience developing vendor scorecards, KPIs, service-level requirements and corrective-action plans.
Anticipated Pay Range $67,000 to $75,000
