Executive Secretary (at the rank of Senior Secretary) in the Clinical Trials Centre (Ref.: 526031)

The Clinical Trials Centre (HKU-CTC) is a leading clinical trials management platform established under the LKS Faculty of Medicine (HKUMed) and dedicated to managing and facilitating international-standard clinical trials on new drugs, medical devices and medical technologies. HKU-CTC offers long- term development opportunities to passionate talents who pursue career advancement and success. We are seeking a high calibre candidate to join us as an Executive Secretary.

Main Responsibilities

  • Provide a full spectrum of secretarial and administrative support to Senior Management;
  • Arrange and coordinate appointments and meetings, prepare minutes, reports, meeting material and agenda;
  • Attend meetings with Senior Management and liaise with internal and external stakeholders to ensure all tasks are on track;
  • Prepare and draft correspondences, reports and presentations with a high level of attention to details;
  • Manage Senior Management's emails and answer and screen phone calls; and
  • Handle travel arrangements for business trips, including flights, hotel & accommodation, itinerary planning and visa application.
  • Requirements

  • Bachelor's degree in any discipline;
  • At least 5 years' experience in working with senior leadership;
  • Able to maintain a high level of integrity and confidentiality;
  • Strong multitasking skills and able to work under pressure and tight deadlines; and
  • Excellent command of written and spoken English and Chinese (including both Cantonese and Putonghua) is a must.
  • The appointment will be made on a two-year fixed-term full-time contract, to commence as soon as possible with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of basic salary. Other benefits include annual leave and medical benefits.
