Executive Officer in the Hong Kong University Press (Ref.: 524531) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to funding availability and satisfactory performance)

Hong Kong University Press is a department of the University of Hong Kong and one of the leading English-language academic publishers in Asia. Founded in 1956, the Press publishes up to 50 new titles a year across all areas of Asian studies from leading scholars around the world.

We are now seeking a versatile and experienced administrator who can manage the day-to-day duties of both a busy publishing business and a department of the University. Reporting to the Publisher of the Press, the Executive Officer plays a central coordinating role within the Press, providing full departmental administrative support and supporting the Press' commercial operations. Duties and responsibilities include:

  • General administrative duties such as the maintenance of the premises, the procurement of office equipment and supplies, coordination of staff recruitment, contract renewals and leave applications, and the implementation of Press and University-wide policies.
  • Supporting editorial and acquisitions functions by sending manuscripts to authors, arranging payments to reviewers and freelancers, and dispatching copies of books to authors or other stakeholders, and handling new book registrations and applications for ISBNs.
  • Assisting in financial and reporting matters, such as financial budgeting, reporting production commissions, e-book royalties, calculating income shares with authors, etc.
  • Assisting in the development of new business system which involves royalty's payment, agreements, shared drives, departmental accounts, database access, etc.
  • Assisting the Editorial Board and Press management by preparing agendas for meetings, maintaining lists of new titles under contract, and preparing sales reports.
  • Applicants should have a Bachelor's degree with at least 3 years' post- qualification administrative support experience, preferably in the publishing and/or education sectors. They should have knowledge of the publishing processes; an excellent command of written and spoken English and Chinese (including Cantonese); excellent communication, organizational, and problem- solving skills; IT proficiency; and the ability to work independently and to meet tight schedules. A valid First Aid Training Certificate and/or Safety Training Certificate will be advantages.

    A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits.
