    The Opportunity

    The Office of the Vice-Chancellor and President have an exciting opportunity available for a trusted and highly experienced Executive Assistant to provide exceptional support services to the Vice-President (Strategy and Major Projects) and Vice-Chancellor's Chief of Staff, and their office. This is a great opportunity for a professional, energetic and vibrant Executive Assistant to transition into a fast-paced and varied role where no two days are the same, as you take full responsibility for a range of executive, secretarial, administrative, and office management services, to ensure the smooth and professional operation of the office.

    Your responsibilities will include but not be limited to:

  • Providing high-level diary and calendar management support to the Vice- President (Strategy and Major Projects) and Vice-Chancellor's Chief of Staff
  • Providing extensive executive support for meetings including but not limited to: preparing agendas, drafting correspondence, facilitating communication, scheduling meetings, event management and coordination, coordinating meeting documents, and taking meeting minutes
  • Arranging complex national and international travel as required
  • Liaising with high-level internal and external stakeholders to organise meetings
  • Acting as the first point of contact for external queries and providing advice directly where appropriate
  • Acting as the main point of contact in communicating between the Vice- President (Strategy and Major Projects) and Vice-Chancellor's Chief of Staff, senior executives and other staff members
  • Acting in place of the Vice-Chancellor's Executive Assistant when they are on leave

    To be successfully considered for this role, you will have demonstrable experience in a similar, fast-paced and dynamic Executive Assistant position in a large and complex organisation, where you have provided support to senior executives in a smooth, professional and efficient manner. You are trusted by the senior executive with whom you currently work to handle highly confidential information appropriately. You also have strong time management and organisational skills, understanding the importance of anticipating what is needed and constantly readjusting priorities in order to manage numerous and sometimes competing demands. Further, you have strong oral and written communication skills with the ability to manage the needs of multiple stakeholders, ensuring that all parties are kept informed as required. High levels of proficiency with the MS Office Suite (i.e. Word, Excel and PowerPoint) and the Google Suite, as well as proficiency with other relevant technologies, are also essential for this role.
