Events and Engagement Coordinator

Job Purpose

To provide professional guidance, support and coordination for the development, implementation and organisation of high profile School level events, external engagement, knowledge exchange and related activity within the School of Law. This role will particularly focus on external engagement events relating to research activity, but will also include learning and teaching, civic engagement, student and alumni related events.

Main Duties and Responsibilities

1. To provide professional administrative services to support the School's physical, online and “blended” events, knowledge exchange and related activity, including liaison with key partners both internal and external to the School.

2. To advise the School senior leadership team and other colleagues on ways to increase and sustain external engagement and knowledge exchange activity and effectiveness.

3. To be a subject matter expert on engagement, knowledge exchange and event activity, including understanding and implementing new innovations in technology and methodological approaches, using insight from across the University of Glasgow, wider Higher Education sector and from other industries.

4. Coordinate with research groups, research theme leads and other colleagues to design proposals for internal and external events, including supporting applications for any external funding or approval, advising on type, timing, scale and method of event delivery.

5. Support School colleagues in the organisation and delivery of internal and external events relating to research, knowledge exchange, impact, civic engagement, learning and teaching, student experience, employability and alumni engagement. This may include ticketing/booking systems, event logistics and resources, coordination of speakers/participants, in-event supervision and the development of a record of external contacts and stakeholders.

6. Oversee and coordinate event related activity across the School, working with MPA colleagues to ensure an organised and efficient calendar of events throughout the academic year.

7. Operate within pre agreed budgets, using delegated responsibility for efficient, effective and appropriate expenditure which demonstrates value for money.

8. Work closely with College and University colleagues, particularly the College Dean of External Engagement and their team, to ensure suitable assessment of opportunities, coordination of activity, and promotion of events and knowledge exchange activity.

9. Work with colleagues across the University to ensure the provision of cost effective and suitable functional and logistical support for all events, for example catering, AV support and room bookings, and the effective use of traditional and social media.

10. Lead and advise on post event evaluations, to inform and improve future events within the School. Implement any findings in future activity.

11. Other duties as directed by the Head of Professional Services (line manager) and requested by academic colleagues.

Knowledge, Qualifications, Skills and Experience

Knowledge and Qualifications

Essential:

A1 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role.

A2 Strong Microsoft Office knowledge, especially Word and Excel.

A3 Strong knowledge of systems to support event management, for both physical and online activities e.g. Eventbrite, Zoom, MS Teams.

A4 Knowledge of key relevant legislation, e.g. GDPR and Health & Safety regulations.

Desirable:

B1 Knowledge of the University of Glasgow systems, e.g. T4.

B2 Knowledge and understanding of the School of Law and University of Glasgow structure, policies, practices and procedures, particularly in relation to research.

B3 Knowledge of research engagement and knowledge exchange in Higher Education.

Skills

Essential:

C1 Strong organisational skills; ability to work under pressure, prioritise own workload and meet tight deadlines.

C2 Ability to respond and adapt to changing priorities.

C3 Excellent communication skills, both verbal and written.

C4 Highly developed and proven interpersonal skills.

C5 Proven initiative and judgement to identify priority issues and problem solve. C6 Ability to coordinate multiple people and resources to deliver an outcome (without having own line management authority).

C7 Ability to review and improve processes and procedures.

C8 Strong financial understanding and budget management skills.

Desirable:

D1 Ability to promote events and generate publicity, both internally and externally.

Experience

Essential:

E1 Relevant work experience in event scoping, design, coordination and management.

E2 Experience of delivering events and activities for groups both internal and external to your organisation.

E3 Experience of working with a wide variety of colleagues and key contacts, both internal and external to your immediate team/department/organisation.

E4 Experience of working within set event budgets, monitoring and reporting on costs and income.

Desirable:

F1 Experience within a higher education setting.

F2 Experience of working with research focused academics.

Terms and Conditions

Salary will be Grade 6, £33,232 - £36,924 per annum.

This post is full time (35 hours per week) and open ended (permanent).
