    Position Summary

    The Event and Engagement Officer will coordinate all aspects of events and engagement activities specifically designed for student and staff at the School of English and University Pathways (SEUP), RMIT Vietnam. The incumbent will be responsible for the school events management, resources utilization, efficient budget allocation, and logistics, alongside other administration as required.

    Reporting Line

    Reports to: SEUP School Manager

    Key Accountabilities
  • Manage and coordinate logistics and stakeholder communications in the organization and implementation of events and engagement activities.
  • Coordinate effective event communication and collaboration between Hanoi, Ho Chi Minh City and Danang campuses.
  • Plan and coordinate with internal and external stakeholder event requirements and support event flow, set up/ teardown phase, guests, etc. and other requirements.
  • Plan and develop event timelines and budgets, ensuring all events are executed within established parameters.
  • Schedule meetings, take minutes, circulate and file documents/ records of event attendance, including student and staff feedback with regards to SEUP events and engagement activities
  • Support line manager in term of event budget management & tracking, logistics, documentation pre and post-events, ensure that all events and activities adhere to RMIT Health & Safety guidelines, procedures, and protocols, while maintaining compliance with the University Standard Procurement Procedure.
  • Negotiate with vendors and/ or providers in term of payment term/ downpayment, prepare services agreement & purchase order in Workday, seek appropriate approval following the RMIT Delegate of Financial Authority & process payment as agreed timeline.
  • Undertake any other duties as required by the School Manager and Director.
  • Key Selection Criteria
  • Bachelor's degree in relevant field,
  • Minimum of 3 years' experience in a similar role.
  • Relevant experience in managing and working with a diverse range of internal and external stakeholders.
  • Excellent verbal and written communication skills in both Vietnamese and English.
  • Proven skills and expertise in M365 Apps including PowerPoint, Word, Excel and any other innovative/ digital platforms.
  • Demonstrable experience in event management and engagement activities.
  • Proven ability to schedule and organize in a complex environment.
  • Demonstrated ability to work independently and as part of a team.
  • Well-developed planning, organisational and problem-solving skills.
  • English Proficiency

    English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS (General) score of at least 6.0 (or equivalent, as outlined in the Recruitment, Selection and Onboarding Guidelines).
