Estates Information Management System (EIMS) Manager

Job Purpose Manage the implemented EIMS (Estates Information Management System) and develop updates and improvements to the system as it builds to maturity.

This is a specialist role that has the following key job purposes:

• Leading and assuring an effective management of the EIMS

• Integrate continuous improvement in process design relative to the Estates data strategy.

• Deliver specialist support in operating the EIMS to meet the Operational model in Estates.

• Analysing and reporting output data trends from EIMS in support of best-in- class service delivery

• Managing interfaces with non-Estates systems e.g., Supply chain

Main Duties and Responsibilities 1. Key focal point with the EIMS delivery partner to maintain, update and develop all processes and systems. 2. To analyse system change requirements post implementation, taking into consideration other Estates systems (Contractor portals, Agresso, CIMAS etc) and developing the system to represent a customer user experience that allows all incidents to be recorded effectively through the EIMS. Continuous improvement is key in this role. 3. To measure and analyse user feedback to build in a continuous improvement cycle in the system delivery. 4. This role will work closely with the Support Service Desk Manager in providing data and trend analysis reports to enable effective customer service delivery. 5. Support the Operational teams in providing data and trend analysis on maintenance activities to enable effective Estates management and planning. 6. Key in supporting user queries and resolving while ensuring training is delivered for all users including all supply chain contractors and ensuring there is a strong link with IT to resolve matters quickly. 7. Ensuring the EIMS and interfaces with systems e.g., Ivanti, Agresso, Supply chain are managed in line with data governance requirements. These duties would require guidance and close working with IT. 8. To organise own workload within the development and management of the suite of modules within the EIMS. 9. To manage and maintain the documented business processes and develop innovative EIMS redesign to support to future client needs using problem solving techniques. 10. Ensures the EIMS provides planning, prioritising, scheduling and coordinating workflow processes that supports team leads in the delivery and development of new projects.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential: A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills through personal development and progression in a similar related role(s). Or: Scottish Credit and Qualification Framework level 9 (Ordinary Degree, Scottish Vocational Qualification Level 4) or equivalent (including professional accreditation with relevant formal training), and experience of personal development in a similar or related role(s). A2 A detailed understanding of the principles and effective application of an Information Management System in relation to the management of properties or assets Portfolio. A3 An excellent understanding and knowledge of IT systems (e.g. Ivanti, Agresso and contractor systems) that will interface with the Estates information management system A4 Knowledge of data trend analysis, process mapping and analysis in relation to maintenance across a complex portfolio.

Desirable: B1 An understanding of the customer stakeholder's journeys through the University. B2 Knowledge of change management processes and techniques.

Skills

Essential: C1 Ability to devise, develop and implement new procedures. C2 Ability to manage and prioritise workload amongst many projects, meet tight deadlines and work under pressure. C3 A careful approach to work with particular attention to detail and high standards of accuracy. C4 Ability to analyse and solve problems independently in a time-pressured environment. C5 Ability to use initiative, work with minimal supervision and work as part of a team. C6 Ability to use data analysis tools such as Excel and power BI C7 Ability to understand and interpret service requirements and provide potential solutions. C8 Proven ability to deliver IT systems training to users with varying skill sets. C9 Excellent communication and interpersonal skills at all levels of the organisation. C10 Stakeholder and relationship management skills, including the ability to manage customer expectations and provide user data feedback.

Experience

Essential: E1 Experience working in a role supporting corporate systems. E2 Experience of handling and managing user expectations, particularly where new technologies are being introduced. E3 Experience of troubleshooting system user issues. E4 Experience in managing competing priorities in a time-pressured environment. E5 Experience of analysing data to inform decision making. E6 Experience of providing specialist advice and information to a wide range of audiences with differing levels of knowledge

Desirable: F1 Experience of working in the HE Sector F2 Experience of working with IT teams

Terms and Conditions Salary will be Grade 7, £39,347 - £44,263 per annum.

This post is full time (35 hours per week) and open ended (permanent).
