Position Summary: The Assistant Director for Data and Assessment is responsible for the administration, analysis, and strategic use of programmatic data across the Office for Mission and Ministry (OMM). This position oversees registration and participant data management systems for the division, including utilizing the University’s event management platform and the Villanova Service Hub, ensuring the collection of accurate, reliable, and actionable information that supports program operations, assessment efforts, and decision-making. The Assistant Director serves as a key resource for reporting, evaluation, and data governance while identifying opportunities to improve processes, integrate systems, and strengthen OMM’s data culture.
In collaboration with Mission and Ministry staff, the Office of Strategic Planning and Institutional Effectiveness, Advancement, and University Technology Services, this position designs and implements assessment strategies that measure program effectiveness and student learning outcomes. The Assistant Director for Data and Assessment develops reports, dashboards, presentations, and data-informed narratives that communicate impact and support strategic planning. The position also supports alumni engagement and donor stewardship initiatives by maintaining participation data systems that enable long-term constituent outreach, recognition, and engagement, advancing the mission and goals of the Office for Mission and Ministry.

Duties and Responsibilities: 35% Program Data Management
  • Oversee program registration and application processes for Mission and Ministry programs utilizing the University’s event management platform (STOVA), Microsoft Forms, and other approved technology platforms.
  • Collaborate with program staff to develop consistent data collection standards and ensure the accuracy, completeness, and integrity of participant information.
  • Serve as a representative of the Office for Mission and Ministry on the STOVA Working Group and assist with implementation of platform enhancements and best practices.
  • Maintain program databases and reporting systems that support operational effectiveness, strategic planning, and organizational decision-making.
  • Identify opportunities to streamline data collection and reporting processes and provide training and support for departmental staff.
  • Generate routine and ad hoc reports to support program assessment, participation tracking, and leadership reporting.
  • Identify opportunities to resolve challenges with technology.

25% Villanova Service Hub Management
  • In collaboration with the Associate Director for Service Integration, manage all aspects of the Villanova Service Hub platform through GivePulse, including service opportunity postings, volunteer management, user support, and system administration.
  • Coordinate the collection, maintenance, and integration of service-related data that exists outside of GivePulse and ensure accurate reconciliation with platform records.
  • Develop and maintain reports on student engagement, volunteer participation, community partner activity, and other key performance indicators related to service and community engagement programs.
  • Analyze trends and participation data to inform strategic planning and program development.
  • Maintain the community partner database and ensure records are accurate, current, and aligned with University standards.
  • Serve as the primary departmental resource for GivePulse administration, training, and troubleshooting.

25% Assessment and Evaluation
  • Partner with the Office of Strategic Planning and Institutional Effectiveness to develop and implement assessment strategies for programs, initiatives, and events across Mission and Ministry.
  • Design surveys, rubrics, questionnaires, and other assessment tools aligned with University learning outcomes, the Office for Mission and Ministry Strategic Plan, and department goals.
  • Collect, organize, and analyze quantitative and qualitative data from multiple sources to measure program effectiveness and student outcomes.
  • Prepare reports, dashboards, presentations, and executive summaries that communicate findings to stakeholders and support evidence-based decision making.
  • Translate assessment results into compelling narratives that demonstrate impact through data-informed storytelling.
  • Recommend improvements to programs, processes, and assessment methodologies based on findings and best practices.
  • Identify unintegrated practices that create silos of information and recommend solutions.

10% Alumni Engagement and Stewardship
  • Collaborate with Advancement, University Technology Services, and Mission and Ministry staff to develop and maintain systems that identify and tag student records based on program participation.
  • Support long-term alumni engagement efforts by ensuring accurate participation data is available for future communication, outreach, and donor stewardship initiatives.
  • Manage processes and data related to donor acknowledgement activities for Mission and Ministry funds, ensuring timely and accurate recognition of gifts.
  • Produce reports and analyses related to alumni engagement, constituent participation, and donor stewardship efforts.
  • Assist in the development of strategies that leverage program participation data to strengthen lifelong engagement with Mission and Ministry and Villanova University.
  • Ensure compliance with University policies and best practices related to data governance, confidentiality, and record management.

5% Other
  • Perform additional duties and assist with special projects as assigned
Minimum Qualifications: Formal Education:
  • Bachelor’s degree in Data Analytics, Information Systems, Business Analytics, Higher Education Administration, Sociology, Statistics, Public Administration, Communications, or a related field required.

Specific Job Knowledge: (e.g., knowledge of principles and procedures related to field and area)
  • Knowledge of data collection, database management, reporting, and assessment methodologies.
  • Understanding of survey design, and program evaluation.
  • Experience with event management systems, CRM platforms, volunteer management systems, or similar databases.
  • Knowledge of higher education assessment practices, student learning outcomes, and institutional effectiveness processes.
  • Familiarity with data visualization, dashboard design, and data storytelling techniques.
  • Understanding of data governance, confidentiality, records management, and applicable privacy regulations.
  • Proficiency with Microsoft 365 applications, including Excel, Forms, Power BI, SharePoint, and related reporting tools.
  • Knowledge of constituent engagement, alumni relations, volunteer tracking, or donor stewardship practices is preferred.

Work Experience:
  • Three to five years of experience in data management, assessment, institutional research, analytics, program evaluation, higher education administration, or a related field.
  • Experience managing datasets, generating reports, conducting data analysis, and supporting organizational decision-making required.

  • Strong organizational skills with the ability to manage multiple projects, deadlines, and competing priorities simultaneously.

Preferred Qualifications: Formal Education:
  • Master’s degree in Higher Education, Data Analytics, Assessment, Organizational Leadership, or a related discipline preferred.

Work Experience:
  • Experience in a higher education, nonprofit, faith-based, or mission-driven environment preferred.
