About Curtin Institute of Radio Astronomy (CIRA)

The Curtin Institute of Radio Astronomy (CIRA) is a multi-disciplinary research institute engaged in a range of projects involving or motivated by radio astronomy. CIRA's activities draw together academic research and professional staff from a variety of science, engineering, and computing disciplines to tackle unique and demanding challenges in radio astronomy. CIRA is the lead organisation and operator of the Murchison Widefield Array (MWA), and a key participant in the international SKA project.

Your new role

Due to an internal move, an opportunity exists for an Administration Support Officer to join the team during core business hours Monday to Friday to support general administration tasks and coordination of student onboarding & record management. The successful candidate will have a strong background in general administration support and be able to demonstrate a mature and positive work ethic, initiative, sound judgement, integrity, and enthusiasm.

The Administration Support Officer is the first point of contact for enquiries, visitors and deliveries and acts as the ‘face' of CIRA.

The position is required Monday to Friday with preferred hours between the core hours of 9.00 am -3.00 pm, however there is some flexibility around start and finish times which can be negotiated with the successful candidate.

Key responsibilities of this role include:

  • Staffing the front office reception desk.
  • First point of contact for general enquiries via telephone and CIRA Admin email inbox.
  • Coordination of centralised personnel movement calendar.
  • Processing of travel bookings using Curtin Travel Operations System (TOPS).
  • Coordination of CIRA student onboarding, record keeping, and reporting.
  • Arranging catering for in-house and on-campus CIRA events.
  • Coordination and assistance with meeting room bookings.
  • Maintenance of Admin documentation e.g. registers, seating plans.
  • Contribute to promoting principles of diversity, equity, and inclusion.
  • General office assistance such as submission of maintenance requests, monitoring stationery and kitchen stock, ordering printer consumables, etc.
  • Occasional ad hoc requests from Executive.
  • Note that this position is supported by the CIRA Project Officer and Business Manager, and training is provided for in-house systems.

  • Essential Criteria:

  • Demonstrated experience in administration and/or customer support.
  • Demonstrated experience in managing a shared Inbox.
  • Intermediate skillset with the Microsoft Office Suite, particularly Outlook, Word, and Excel.
  • Good level of computer literacy.
  • Attention to detail, particularly with grammar and punctuation in written communications.
  • Ability to prioritise tasks to meet timeframes/deadlines.
  • Willingness to be proactive during quiet periods.
  • Friendly and professional attitude.
  • Desirable Criteria:

  • Understanding of basic travel booking processes.
  • Experience in working in a university environment.
