We have an exciting opportunity for an experienced Administrative Officer to provide administrative support to all members of staff and ensuring that the office is run efficiently within the Clinical BioManufacturing Facility (CBF) at the Pandemic Sciences Institute, Nuffield Department of Medicine. As Administrative Officer, your time is split between all aspects of administration to support the day-to-day operation of the CBF office and QA department activities to maintain and improve compliance with current and future regulatory requirements (all covered by formal Standard Operating Procedures (SOPs).
You will be responsible for efficiently managing office tasks including photocopying and scanning documents, processing mail, and updating the CBF's website as required. You will be tasked with providing PA duties for Senior Staff and visitors including managing personal schedules; organising meetings, booking meeting rooms and catering arrangements; arranging training courses, travel, accommodation, and insurance; and telephone arrangements as required. You will be writing, editing, and reviewing Standard Operating Procedures (SOPs) relating to administrative tasks. You will also be responsible for composing and distributing agendas and minutes for internal and external meetings and suggesting changes to improve the operational efficiency of working practices and systems for the role and QA department while maintaining compliance with GMP. Including filing, tracking, and electronic documentation arrangements.
To be successful in this role, you will have GCSEs including English and Maths along with proven administration experience. You will have excellent IT skills (in particular Microsoft Office and Adobe Acrobat), with an ability and willingness to learn to use new databases and technologies, and the ability to work with a high degree of accuracy and attention to detail. You will have good organisational skills an ability to multi-task effectively and experience working on confidential matters. Finally, you will also have excellent communication and interpersonal skills at all levels and an ability to communicate and liaise effectively with visitors and colleagues.
