Your new role: The Faculty of Business and Law are looking for two enthusiastic Administrative Officers to join their team. Consideration will also be given to candidates who wish to apply for both roles and work on a full-time basis.

The Administrative Officer coordinates and undertakes general administrative activities which support the day-to-day operational effectiveness of the area. In this case, the 0.6 role will support the Faculty's Dean of Research and the Research Portfolio and the 0.4 role will support the Faculty Office more broadly. Both roles may act as the main point of contact and will be responsible for all general support and administrative activities of the functional area. The 0.6 role will also provide comprehensive personal assistance to the Dean of Research.

In this role you will:

  • Establish and maintain efficient administrative processes and practices.
  • Manage the commitments and diary of the Dean, Research.
  • Create, publish and distribute reports and other documentation as required in a professional and timely manner (e.g. briefing papers, minutes and agenda and general correspondence).
  • Assist with the planning and execution of internal events, including but not limited to sourcing and organising venues, catering, suppliers and promotional activities.
  • In liaison with the University's Travel Team, arrange and coordinate travel arrangements for staff and visitors in accordance with the Travel Procedure and ensure all travel details are reviewed and accurate.
  • Liaise with relevant area stakeholder and University functional areas (e.g. People and Culture, Finance, Properties, and Corporate Relations) to ensure specific work is completed as necessary.
  • Undertake other activities which the incumbent might reasonably be expected to do, and which are consistent with the accountabilities and responsibilities as listed above.
  • We are looking for:

  • Completion of a diploma and considerable relevant work experience; or an equivalent combination of relevant work experience and education/training.
  • Excellent time management and organisational skills with the ability to manage multiple and often competing tasks, prioritise activities and meet deadlines.
  • Advanced computer skills, particularly in the Microsoft suite of applications.
  • Strong attention to accuracy and detail.
  • Effective oral and written communication skills with a well-developed cross-cultural sensitivity and diplomacy.
  • Demonstrated initiative and problem-solving skills.
  • Proven ability to work well in a team, including respecting difference, supporting others, accepting direction and working to group goals.
  • A willingness to help out other team members and to conduct tasks outside the parameters of this job description if required.
  • Previous experience in a tertiary environment would be highly regarded.
