Position Details

Wesleyan University's Center for the Arts (CFA) and the Arts Production Department supports the technical and production needs of the departments of dance, music, theater and art and art history, student groups and University departments, and serves as a cultural center for the campus, Middletown and the region by presenting a wide variety of events and exhibitions ranging from student and faculty works to internationally acclaimed ensembles. The CFA works to elevate the arts as a means of teaching, learning and knowing, and to integrate the arts into all aspects of campus. Dual reporting to the Director of the CFA and the Producing Director of the Arts Production department, the Accounting Specialist is responsible for managing the fiscal and administrative functions for the Center for the Arts and Arts Production department.

Responsibilities Include:

  • Manage/reconcile departmental budgets; process student payroll, Accounts Payable vouchers, purchasing card reconciliations, travel reimbursements, and other financial transactions and chargebacks.
  • Provide weekly financial reports to the Director and Producing Director on both spending and balances.
  • Track internal and external grant deadline dates, submissions and decisions.
  • Complete internal and external online forms pertaining to grant applications and reports.
  • Assist Director and Producing Director with the development of budget preparation, data compilation, expense forecasting, personnel needs, etc. during the grant preparation/submission process.
  • Liaison with the Corporate, Foundation and Government Grants office and Grants Accounting office on submissions, extensions and end reporting.
  • Assist with analysis to identify and report on the financial status of projects including compliance, forecasting, and any potential project shortfalls.
  • Communicate with guest artists to ensure correct execution of federal and state tax paperwork.
  • Provide data as necessary.
  • Train new staff members on purchasing processes.
  • Coordinate and schedules candidate interviews and itineraries during search processes.
  • Supervise student workers as necessary and manage payroll submissions and associated budgets of student workers, and process any other student payments.
  • Facilitate stewardship of the buildings of the CFA, maintain and order office supplies and keys, monitor and schedule office maintenance with the Facilities department, and manage scheduling of staff searches and provide any other event support as needed.
  • Other related duties as assigned.
  • This is an on-campus position located in Middletown, CT

    This position is in the secretarial/clerical bargaining unit. The position works 33.25 hours per week for 52 weeks per year.

    Minimum Qualifications

    Associate's Degree and a minimum of six years of accounting related experience or an equivalent combination of education, training and experience. Advanced knowledge of MS Word, Excel and database management. Previous accounting and budget tracking experience. Ability to set priorities, establish efficient procedures, multi-task, manage detailed work, and follow through with a minimum of supervision in a calm and effective manner. Demonstrated ability to work on multiple projects effectively in a fast-paced environment. Strong organizational skills. Effective communication skills.

    Demonstrated commitment to work within a diverse environment and interact openly with individuals of different backgrounds.

    Preferred Qualifications

    Experience overseeing private and government grants.
