General Description / Primary Purpose

The Academic Support Services Coordinator, under the direction of an Assistant Director or above, assists in the design, development and implementation of departmental processes and/or programs. Recommends policies and procedures to ensure effective coordination of departmental programs.

Performs one or more advising administrative functions while working directly with online program applicants and students and families to answer educational questions and concerns. Provides one-on-one assistance to the public in person, over the telephone, and through e-mail or other written correspondence. Assists with typical front desk duties (greets visitors, answer phone calls, monitor Zoom walk-ins, schedule appointments/meetings) alongside the BCH Advising administrative assistant as needed. Performs related duties as required or deemed appropriate to the accomplishment of the responsibilities and functions of the department. Problem solves and trouble shoots. Collects and analyzes data as appropriate with discretionary use under FERPA rules, for use in handling all student activities. Assists university/Board of Trustees/Board of Governors administrators and institutional groups in resolving specific academic success and/or registration problems and in disseminating information in regard to SUS/university rules, policies, and contracts. May serve as liaison between university administrators, students, parents, faculty, staff, and others regarding advising activities.

  • Respond to, or forward to other university staff/faculty as appropriate, inquiries made regarding Brooks College of Health (BCH) online programs.
  • Attend online program-related meetings as necessary.
  • Contact online program candidates prior to enrollment purge re: non-payment, missing onboarding requirements.
  • Apply and lift program-related holds (related to #3)
  • Complete student call and email campaigns as assigned (e.g. Registration reminders, Payment deadline reminder, Graduation application reminders, etc.)
  • Assist online program directors and students with any questions and/or issues.
  • Check submission of Waiver Request Forms and forward submissions to program director for review. Alert Online Academic Advisor of any approved waivers so that she can process the waiver.
  • Monitor phone calls and email inboxes
  • Assist UNF Online staff with trouble shooting and any student-related issues.
  • Assist Online Academic Advisor and other BCH advisors with administrative tasks as needed.
  • Greets and assists students both in person and on Zoom as well as screening all incoming calls.
  • Schedules appointments and meetings for Academic Advisors and the Director, as needed.
  • The position requires good interpersonal skills because it is often the first contact with customers of the BCH Advising Office.
  • Assess student walk-in /appointment traffic and make suggestions for improved student experience.
  • Offer feedback on BCH advising process to Director based on the interaction with students.
  • Answer general questions regarding BCH programs and UNF policies/deadlines.
  • Refer students to appropriate offices on campus.

    Must be able to work on the occasional weekend/evening to assist/participate in University events and program orientations/informational sessions. During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place or residence.

    Bachelor's degree from a regionally accredited college or university.

    Departmental Requirements

    Must be familiar with, or be willing and able to quickly and accurately learn the policies, practices and functions of the University of North Florida. Must be intimately familiar with all aspects of University and College policies along with the operations of other units with whom common collaboration is needed. Must be able to perform processing and work tasks.

    Experience working in customer service setting required. Experience in higher education admissions/enrollment services experience strongly encouraged. Strong interpersonal skills and communication skills (both spoken and written) are required. Must possess a strong sense of the importance of customer service. Must be well organized. Must have capacity to learn and implement strong conflict resolution skills. Must have strong computer skills. Must be familiar with enrollment services activities and responsibilities within the SUS. Total support of the goals, initiatives, policies and procedures of Academic Advising as set by both the President and the Provost is required.

This position has been designated as a CSA because it involves significant responsibility for student and campus activities and/or responsibility for campus security. This position has a reporting requirement because the University believes that your responsibility for students, campus activities and/or campus security will make you someone members of the University community will see as an authority figure and someone to whom they can seek help. A CSA is not expected to investigate or determine whether a criminal incident actually took place. A CSAs responsibility is a duty to report.
