Job Description
Under the Direction of the College of Southern Idaho (CSI) the Welcome
Center Office Specialist will be responsible for the front desk coverage for
the Welcome Center and Admissions Office. This position will primarily greet
students and community members and operate a multiline telephone system to
answer incoming calls and direct callers to appropriate department or
individual. The position will also provide a variety of administration duties
that support the Admissions team.
This position will provide a positive, exceptional, and accurate customer
service to our students, faculty, staff, and community members.
The Welcome Center Office Specialist will play a pivotal role in the
implementation and importance placed on a student's Sense of Belonging and
student life experiences at the College of Southern Idaho. It requires a
professional, dependable, flexible, organized, and friendly team member
providing timely student assistance answering email, telephones, greeting the
students, responding to inquiries, and assisting students/parents throughout
the application, admission, and transition to campus processes.
ESSENTIAL FUNCTIONS
Working independently to organize and prioritize multiple tasks, performs the
following duties in a timely and efficient manner:
Greeting and welcoming students and community members with excellent customer service.
Assisting students and directing them to the appropriate person or department for further assistance when needed.
Answering phone calls and transferring them to the appropriate point of contact.
Managing the Admissions email account.
Scheduling appointments, meetings, and conference rooms for the Admissions office.
Maintaining a clean and organized front desk area and ensuring it is well stocked with necessary supplies and promotional items (swag).
Providing general administrative support, including data entry from inquiry cards and document preparation.
Assisting with special projects, such as event planning or coordinating travel arrangements.
Maintaining security by following procedures and controlling access to the Welcome Center/ Admissions Office.
Understanding, supporting, troubleshooting student inquiries and issues when necessary.
Collect, retrieving, and analyzing student intake information through the Jenzabar system.
Ensuring office coverage during regular business hours.
Performing any other duties as assigned.
MINIMUM QUALIFICATIONS AND SKILLS:
Positive attitude and willingness to learn and serve is an essential
expectation for this position.
Demonstrated ability to meet the duties and responsibilities in the job
description.
Previous experience involving exceptional student/customer service.
Organizational skills to work within prioritized needs.
Excellent interpersonal communication and public relations skills to meet
people courteously and to work with all ages and socioeconomic groups.
A strong service orientation or desire to meet people's needs, handle
challenging situations and provide customer service and promote teamwork
within the department, the College and community.
Good judgment and professionalism in dealing with pressures and meeting
deadlines.
Ability to listen, takes directions, and communicates effectively both
verbally and in writing.
Ability to attend to detail and follow directions with thoroughness and
accuracy.
Self-motivated to take assignments and carry them through from initial
stages to completion.
Demonstrated ability in business communication, including proper business
English usage, composition, punctuation, and spelling.
Flexibility and a willingness to attend and receive additional training to
improve skills.
Flexibility of work schedule when needed,
Has respect for the opinions of others and behaves in such a way as to
ensure an atmosphere of respect and trust.
Able to maintain confidentiality with all matters.
PREFERRED QUALIFICATIONS AND SKILLS:
Customer service
Bilingual in Spanish
TECHNICAL EXPERTISE REQUIRED
Proficiency in appropriate computer software including Microsoft Office,
e-mail, telephone skills, and other related office systems.
Ability to learn the CSI registration processes, business office, and
other computer systems and maintenance skills.
Attention to detail, accuracy and follow through.
Demonstrated ability to learn and use CSI's digital systems.
WORK SCHEDULE AND CONDITIONS
Weekend and evening work may be required during certain periods of the
year
