The full-time University Student Affairs Coordinator serves as a member of the University Student Affairs team providing assistance to all WesternU student clubs and the Student Government Association (SGA) for co-curricular programs and student services. The Coordinator provides financial support management for class and club organization account balances ensuring accurate accounting and University policy compliance. The Coordinator is responsible for USA communication and marketing This position reports to the Director for University Student Affairs.

1. Strong written communication, verbal communication and interpersonal skills that enable the employee to interact effectively with administration, faculty, staff, and students.
2. Excellent computer skills enabling employee to provide support to department using technological tools such as Microsoft Office, Microsoft Teams, and Microsoft Sharepoint. Experience with office equipment such as copy machine, multi-line telephone, and fax machine highly desired.
3. Ability to prioritize and successfully complete multiple duties while paying close attention to detail.
4. Skilled in making decisions with sound judgment.
Required Qualifications
Education: Bachelor's degree strongly recommended. AA/AS degree and 5+ years in Student Affairs may be considered in lieu of Bachelor's degree.
Experience: Three-five years of higher education experience or Bachelor's degree in related field preferred
Computer Skills: Excellent computer skills enabling employee to provide support to department using technological tools such as Microsoft Suite products, Qualtrics, and WordPress. Banner experience strongly desired. Experience with office equipment such as copy machine and multi-line telephone preferred

Student Co-Curricular Programming and Student Services Support
- Review and verify accuracy of student submitted reimbursement requests.
- Support student leaders by providing balances of club/class funds and answering questions regarding University policies for reimbursement and payment.
- Reviewing and submitting Officer Travel Fund reimbursements from Senior VP of USA budget.
- Verify and process military reimbursements.
- Ensure accurate accounting aligned with fiscal year deadlines.
- Provide trainings for club/class student leaders on proper financial management of University funds.
- Review and approve designed merchandise to ensure compliance with University branding standards and legal/trademark accuracy.
- Manages housing database and roommate request database. Communicates with members of the community that are interested in posting their rentals on the University database.
- Assist with planning and execution of USA events including but not limited to Fall Club Day/Week, Spring Club Day/Week, Santa's Workshop, and the SGA Interprofessional Health Fair (IPHF) - Assist with planning and execution of University events including but not limited to Welcome Week, Convocation, and, Commencement.
- Answering inquiries sent to general USA email address that are related to club/SGA financial requests/reimbursements, military reimbursements, or housing.

Departmental Support
- Greet and assist students and guests at the front counter or during virtual office hours.
- Answer telephone and email inquiries within 2 business days.
- Coordinate daily and weekly maintenance of Student Services Center (SSC) lunchroom with other offices and departments in the building. Order supplies as needed.
- Provide back-up administrative support for various Student Affairs-related Committees that are chaired by University Student Affairs leadership. - Provide back-up support to the Executive Assistant to the Senior Vice President for University Student Affairs.
- Provide back-up support to assist with club event reservations and support for Executive SGA and SGA senate meetings including reserving space, communicating with student leaders, and submitted documentation to Risk Management and Legal. - Cross-train and act as back-up for other USA Coordinator position as needed.

Communications and Marketing
- Maintain and deploy weekly campus email “Monday Mail” by ensuring accuracy of submissions in collaboration with partner USA Coordinator.
- Draft and review communications sent to campus regarding co-curricular activities including but not limited to SGA elections, Fall/Spring Club Week, Santa's Workshop and the IPHF.
- Research and develop Social Media presence for USA.
- Create flyers and other materials for events used in email marketing and campus electronic sign boards. - Other duties as assigned
