You will work as part of the team responsible for the production of a timely and accurate University timetable, ensuring it is student focused and uses the estate efficiently. This will be completed through the use of systems and processes designed to ensure that timetables meet the requirements of academic schools, that they provide a good student experience and that they are well communicated.

    JOB DESCRIPTION

    Job Title: Timetabling & Room Management Officer

    Schools and Directorates/Directorate: Academic Registry

    Grade: F

    Location: High Wycombe (cross campus working required)

    Hours: 37

    Responsible to: Timetabling Manager

    Responsible for: N/A

    Job Purpose:

    To ensure the production of a timely and accurate University timetable, ensuring it is student focused and uses the estate efficiently. This will be completed through implementing systems and processes to ensure that timetables meet the requirements of the faculties and provide a good student experience and well communicated.

    Main Duties & Responsibilities of the role:

  • Act as a School Business Partner to work with key staff in faculties to ensure that all University Courses are efficiently timetabled and within timescales agreed.
  • Lead and advise on the timetabling activity in the schools to enhance the student experience.
  • To maintain regular and effective communication with all key staff in the Schools and Directorates with regard to the production of efficient timetables and ensure they are aware of all dates, deadlines and other important information.
  • To prioritise work on a daily basis and to plan according to the academic cycles/calendar.
  • To be responsible for co-ordinating timetabling data collection and to ensure data integrity.
  • To configure and interpret the data, involving a detailed knowledge of academic requirements across departments.
  • To be responsible for the allocation of rooms to teaching events and for making efficient use of the teaching space.
  • To undertake student and curriculum imports to the timetabling system.
  • To undertake central timetabling activities such as confirming ad-hoc booking, clash-checking, auto-scheduling and student allocations.
  • To have a proactive approach to problem-solving and to use initiative and creativity to resolve conflicts and teaching space allocation issues.
  • To ensure that access to timetable information is available in a variety of media to key stakeholders.
  • To provide personalised student timetables to enhance the student experience.
  • To provide reports and timetables as required.
  • To extract and analyse data from the student information system to obtain information for timetabling and room allocation purposes and to identify redundant/excessive room bookings.
  • To log and monitor change requests, queries, complaints and any problems caused as a result of these.
  • To challenge those with redundant bookings or using bad practice with block bookings.
  • To challenge those who do not comply with the timetabling processes, procedures and deadlines and to attend meetings as required.
  • Any other reasonable duties as required by the Timetabling Manager.
