To provide varied administrative support for the Upward Bound Math and Science Center Programs' routine business or academic activities with minimal supervision.

Essential Duties and Responsibilities

  • Prepare and submit all paperwork for staff and students' travel including mileage for reimbursement.
  • Process payroll as needed. Handle monthly vacation, sick leave reports as needed.
  • Assist in the preparation of participants' stipends.
  • Provide secretarial assistance, including word processing, compose correspondence, office management, answer telephones, meet and receive guests, process mail, make copies, record minutes of meetings.
  • Maintain a ledger of expenditures and credits for all grants.
  • Assist Program Director and Coordinator with budgetary accounting responsibilities for grants. Purchase supplies and reconcile department credit card purchases, generate purchase orders and documents.
  • Arrange staff and or participant travel accommodations.
  • Assist in the planning and implementation of the six-week summer residential programs including requesting vans or other transportation.
  • File insurance claims for summer participants.
  • Maintain files, records, and program documentation and update BLUMEN or other data bases as needed.
  • Select, train, and supervise student clerical staff.
  • Conduct monthly meetings and implement new office procedures for office staff.
  • Assist with documentation and accounting of Auxiliary Programs, i.e. SAC, PA, Gift Accounts.
  • Assist in the development and production of monthly newsletters i.e. mail and or email.
  • Coordinate meetings, workshops, field trips and activities, and assist in reserving facilities for program use.
  • Generate requests for catering service i.e.
  • Catering Request Fax Form or Food Waiver, for program activities when food is requested by the Director and or Coordinators.
  • Assist in submitting documentation to the U.S. Department of Education and other funding agents as needed.
  • Assist with grant proposals.
  • Performs other duties as assigned.
  • Required Qualifications

  • High School diploma or equivalent.
  • Three (3) years of administrative, secretarial, and clerical experience.
  • Preferred Qualifications

  • Experience with educationally and economically disadvantaged junior and high school students.
  • Good oral and written communication skills.
  • Nonjudgmental and supportive overall attitude.
  • Ability to learn quickly, adapt to changes, and work under pressure.
  • Reliable and highly motivated.
  • Personal experience overcoming academic and economic obstacles to higher education.
  • Ability to type 40WPM.
  • Experience with BLUMEN (UT Arlington's data management/accounting system).
  • Work experience in an educational program.
  • Read, speak or write in Spanish language.
