Job Summary The Student Services Specialist will assist students in navigating the various pathways after enrollment at The University of Southern Mississippi: their class registration, their grades, their money, and other information related to their academic records. Student Services Specialists will act as a facilitator to resolve student services issues; be knowledgeable about all student benefits and functions across the Offices of Financial Aid, Business Services, Registrar, and Undergraduate Admissions. Student Services Advisors will be prepared to address student enrollment needs and develop specialized knowledge through their experience and extensive and regular professional development. This is a direct student service position, spending the majority of time on the ‘front line' working with students, parents, alumni, other University departments, and the community. Student Services Specialists engage in sensitive conversations related to academic success and financial matters.

Primary Duties and Responsibilities

  • Counsel, advise, investigate, problem-solve, and resolve questions and issues from current, previous, and prospective students, parents, faculty, staff, collegiate units, other third parties, and the public. Assist with outreach and engagement efforts with prospective and current students as necessary.
  • Deliver a holistic counseling experience relative to course enrollment information, academic records, financial aid, billing, and payments with a continuous focus on academic success and degree progress, financial wellness, student retention, and graduation rates.
  • Advise students and parents with in-depth financial aid questions assuring adherence to all regulatory compliance concerning financial aid applications, financial aid eligibility, cost of attendance budget components, different types of aid, loan comparisons, and their specific eligibility requirements, the requirements of federal, state, and University verification, and estimated family contributions.
  • Using a high-level of financial aid and student records policy knowledge, assisting students with filing tuition refund and satisfactory academic progress appeals so they realize a positive outcome. Advise students on the impacts of withdrawal or course enrollment changes related to financial aid and student accounts.
  • Review, analyze, and interpret student account activity, credits, debits, adjustments, and statements. Counsel students on student account topics: tuition rates, course fees, parking rates, bill due dates, payment plan options, refund distribution, and refund appeal information. Assist former students with prior term balance payments.
  • Supports fundamental undergraduate admission questions related to admissions/re-enrollment application status, transcript requests, document processing times, deadlines, scholarships, immunization requirements, and general account access.
  • Advise students on course registration processes, clearance of registration holds, federal and university privacy policies regarding academic records, and the processes by which academic records can be updated. Review requests for academic transcripts. Review and process certification of enrollment, letters of academic standing, and insurance third-party enrollment verifications. Assist with student records maintenance as necessary
  • Performs other duties as assigned to promote the mission of the University, University College, and the department.
  • Minimum Qualifications

    High School diploma or equivalent. Two years of student-related and/or office experience.

  • Ability to meet expectations in a fast-paced and dynamic customer-oriented environment with flexibility to accommodate adjusting priorities.

  • Preferred Qualifications

    Bachelor's degree from an accredited college or university and/or 1-3 years' experience in a related field/academic environment. Experience in higher education, preferably a one stop service model, admissions, financial aid, registration, and/or student accounting.
