POSITION SUMMARY:

Greet in person and “virtual” guests and route their inquiries to the appropriate parties. Perform staff assistant duties of a complex and confidential nature in support of major departmental or divisional activities to relieve supervisor of varied clerical and administrative responsibilities and to maintain efficiency in organizational operations.

DUTIES & WORK PERFORMED:

Serve as the primary receptionist and perform general administrative support including answering the main phone line and greeting visitors. The duties require a full understanding of the various functional areas of the Graduate School, to answer questions from visitors and/or direct those questions appropriately.

In support of the Dean's office, schedule and coordinate arrangements for seminars and conferences and establish appointments, meetings, speaking engagements and social events, as requested. Manage calendar, schedule meetings, and provide other administrative support.

Serve as the assistant to the facilities manager for the Graduate School; place work orders, as needed; maintain strong working relationships with Facilities Management, Environmental Services and outside contractors, to ensure work orders and facility maintenance are completed properly and in a timely manner.

Maintain stocks of general supplies (office, kitchen, etc.).

Receive, sort, and distribute daily mail/deliveries.

Prepare reports for the Dean's Office which requires facility with the internet, creation of charts, and narrative descriptions/summations.

Compose correspondence independently requiring interpretation and application of departmental policies, procedures, rules and regulations; determine which correspondence to respond to or which to bring to supervisor's attention based on content of communication and broad knowledge of departmental programs and activities.

Work on ad-hoc projects for the Dean's Office and other divisions in The Graduate School via instructions from the supervisor.

Minimum Qualifications

Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

Experience

Work generally requires four years of related secretarial/clerical OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.
