The Ryan College of Business Undergraduate Programs Office is resourced with professional staff including Academic Advisors, Academic Counselors, College recruiters, as well as Directors, and front office personnel. The office serves prospective as well as continuing students by providing for the evaluation of transfer credit and course planning. They assist students with understanding university policies and regulations, reaching their academic goals, and supporting their student success.

Position Overview

This position includes professional administrative work planning and aiding in the business management and staff services functions of a major administrative office. This position also operates with a high level of initiative and is responsible for a variety of decisions and administrative services. Duties involve independent judgment and initiative based on knowledge gained through experience, public contact work, including personal and sometimes very delicate communication with a wide range of persons and confidentiality of information handled in the Graduate Programs Office.

Minimum Qualifications

Bachelor's Degree and five years of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training

Knowledge, Skills and Abilities

• Exceptional communication and interpersonal skills. • Advanced written communication skills. • Advanced Microsoft Office skills. • Knowledge of accounting/budgeting procedures. • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. • Ability to conceptualize, plan and organize multiple programs and assignments effectively. • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. • Skill in developing and maintaining good working relationships. • Knowledge of policies, practices, procedures and terminology of assigned function. • Supervisory skills.

Preferred Qualifications

The preferred candidate will possess the following additional qualifications: Bachelor's degree At least 2 years' experience in office administration Customer service experience Excellent organization, problem solving, time management and customer service skills Excellent phone, email, and interpersonal skills PeopleSoft and Microsoft Office experience Experience with university admissions processing Availability to work after hours/weekends as needed for special events

Job Duties

o

Front-line administrator for College of Business, Graduate Programs Office. Duties include greeting visitors and answering questions regarding GPO services and tasks, scheduling appointments, answering phone and taking messages.

o

Refer visitors to the appropriate staff person in the office or to other offices within CoB or across campus.

o

Managing outgoing mail daily; date stamping, sorting and distributing incoming mail.

o

Knowledge of the information, processes and procedures of the office, including admission requirements and general events.

o

Responsible for maintaining a clean front-desk/reception area.

o

Supervise, manage and support the processing (creating, addressing and mailing) of admit/deny letters once applications have been completed.

o

Perform misc. tasks at the discretion of the Associate Dean and/or Assistant Dean as assigned.

o

Assist with planning, preparation and implementation of special events.

o

Complete the “review-and-purge” process regarding admission and enrollment documents at the beginning of each new semester. Deny all applicants who did not complete their application for that given semester.

o

Responsible for prompt and accurate filing of application materials, degree plans, substitution forms and other important documents according to established policies and procedures.
