Job Summary

To provide logistics coordination for events and group projects that benefit the TMAC. This position requires a high degree of schedule flexibility and independent judgement.

Essential Duties and Responsibilities

  • Execute all event and group project planning & logistics for the department from concept generation to post-event debrief.
  • Manage the departmental event calendar and assist in the development of new event marketing ideas to execute a robust event marketing plan for the region.
  • Coordinate all event logistics and marketing activities for TMAC's Lean Six Sigma Program (www. texasleansixsigma.com).
  • Manage departmental food & beverage purchases.
  • Ensure accounts are up to date and in good standing. Order catering for all events (internal & external) as requested.
  • Event registration page setup and management for a variety of business events (some requiring complex registration paths), payment reconciliation for event attendees & invoice follow up.
  • Serve as day-of event coordinator for all on- and off-site events hosted by the department including event setup, timeline management, walk-in registration, coordinating with vendors, assisting attendees, delegating volunteer tasks, solving issues that arise, assisting project managers with presentation setup, etc. to event breakdown.
  • Develop and maintain a method for tracking event-specific income and expenses to be integrated into a larger profit/loss reporting system.
  • Prepare materials for instructional and marketing purposes for all events and group projects as needed including TMAC-hosted events and events attended by TMAC staff for marketing/business development purposes.
  • Maintain a University procard and reconcile the account monthly.
  • Coordinate debrief meetings after all events to assign project closeout tasks, follow up activities, feedback, revenue/expenses. Perform general data entry into departmental CRM system (Salesforce) for events and group projects.
  • Answer phone and email inquiries about TMAC and its services, route incoming leads to the appropriate contacts, and assist event registrants with registration or online payment issues.
  • Search for events and attend, exhibit, or sponsor to represent TMAC in order to develop business, learn ideas and trends, view potential venue sites, network with potential customers, etc.
  • Performs other duties as assigned.

    Required Qualifications

  • Bachelor's degree.
  • Three (3) years experience planning special events OR high school graduate or equivalent with five (5) years of experience planning special events.
  • Excellent organization, planning, and communication skills required.
  • Knowledge of current events management software (Eventsquid) a plus.
  • Preferred Qualifications

  • Experience working in a non-profit, government, or university environment.
  • Experience with Salesforce a plus.
  • Proficiency in Microsoft Office applications and general computer/technical knowledge.
  • Able to think quickly and independently acting as an ambassador for the TMAC brand.
