THE ROLE
Reporting to the Building Maintenance Lead, the Service Facilitator will provide advice and facilitate the required facilities management services, including the coordination and supervision of work undertaken by external trades and suppliers.
Key accountabilities include:
Consult with key stakeholders in faculties and offices to identify and evaluate building maintenance needs and requirements and ensure required access for external contractors and suppliers;
Liaise with, brief, agree service delivery standards, supervise, and sign off on building maintenance work performed by external contractors and suppliers;
Maintain accurate building equipment inventories, service records, and equipment histories for installed building plant and equipment;
Ensure that all requests for services are entered into the system and that all reports and work orders are distributed, so that appropriate action can be taken in a timely manner;
Triage all service issues and problems that flow from the distribution of work orders and, where appropriate, escalate or provide advice to Property staff in relation to the urgency and prioritisation of work;
Support a safe building environment in accordance with all statutory and legislative requirements;
Identify and raise potential areas of risk relating to building maintenance;
Build and maintain relationships with key internal stakeholders, external suppliers and contractors;
Comply with relevant EEO and WHS regulations;
Perform any other duties as required and appropriate for this classification.
ABOUT YOU
You will have a relevant qualification with licenced trade-based skills or a thorough understanding of buildings and legal requirements of trade works, and experience working in business, administration, or related discipline. Your experience working in customer service-based roles, has equipped you with strong interpersonal and stakeholder management skills and enjoy working collaboratively within a team environment.

Relevant qualification and experience working in business, administration, or related discipline.
Experience working in administration, office management and/ or customer services-based roles, preferably within a construction project management environment or similar.
Licenced trade-based skills or extensive experience working with trades.
Report writing experience, including collating and consolidating data and information from multiple sources to prepare a range of reports.
Proven experience and ability to build and maintain relationships with a wide range of stakeholders.
Experience reviewing, developing and implementing administrative process improvements.
Proficient in Microsoft Office including Work, Excel and PowerPoint, Databases and Finance Administration systems.
This position requires a criminal history check.
