Job Title: Senior Operations Coordinator

Reporting To: Quality and Operations Manager

About the post:

The objective of this post is

§ To assist in the design, development and delivery of operational projects aligned with the School of Pharmacy and Biomolecular Sciences strategy

§ To support the School in the execution of its functions through administrative support

Job Responsibilities

§ Developing and maintaining the ATT Pl acement database

§ Developing and maintaining strong working relationships with external stakeholders (e.g. ATT placement providers)

§ Providing direction and support in the delivery of projects aligned to the School strategy. These projects will be across a range of key operational activities within the School including IT based projects, such as, Kaizen.

§ Ensure that project services are delivered in a cohesive and planned manner

§ Demonstrated leadership and change management skills with a continuous focus on process improvement

§ Training of both academic and operational staff to enable successful implementation of new operational initiatives (e.g. use of new software platforms)

§ Developing and implementing Standard Operating Procedures for administrative processes that will ensure accuracy and consistency

§ Acting as an interface and point of contact cross functionally within RCSI for PBS Operations Team.

§ Administrative duties to support the delivery of the teaching programmes

§ Providing cross-functional teams with administrative support including organising/scheduling meetings & minute taking

§ Supporting the Quality and Operations Manager in the execution of his/her duties

§ Leading by example for junior members of the team

§ Undergoing programmes of training and development as may be required

§ Performing other such duties as may be required from time to time

Knowledge & Experience – ( Essential):

§ Strong organisational and administrative skills with experience of project delivery and/or process implementation within defined timescales

§ Strong IT skills, experience in IT projects including database development and/or website management would be beneficial

§ Proven ability building relationships with stakeholders

§ Excellent writing skills including experience of compiling complex reports

§ Good critical thinking and problem solving skills

§ An ability to manage multiple tasks simultaneously and to be flexible

§ An effective communication style appropriate to audience and situation

§ Ability to take direction and meet deadlines

§ An ability to work at pace and in a complex environment

§ An ability to handle confidential information with discretion
