  • About This Opportunity

    Global Partnerships has an exciting opportunity for enthusiastic and driven Events Officer or Coordinator to join a high-performing and dynamic team.

    We are looking for a Senior International Visits and Events Officer to work closely with the University's senior leaders, academic champions, and professional staff. The role is responsible for the coordination and delivery of high-level international visits (e.g.: visits from international Ambassadors and university presidents) and key onshore engagement events (e.g.: UQ–Latin American Colloquium).

    The Senior International Visits and Events Officer is the key point of contact for internal and external enquiries and requests relating to visits and events, and is responsible for providing high-quality organisational, logistics, and administrative support.

    Key responsibilities include:

  • Managing requests from visiting delegations to determine the appropriate level of support and involvement from UQ stakeholders

  • Managing correspondence and relationships with internal and external stakeholders, including members of the University Senior Leadership Group (USLG)

  • Sourcing, negotiating and supervising suppliers and contractors associated with visits and events including UQ Print, AV/IT, catering, transport, and room bookings

  • Conducting campus tours and accompany delegates during their visit

  • Coordinating key Global Partnerships events, including the annual UQ–Latin American Colloquium, sponsored student events, entrepreneurship events (through UQ Ventures), presentations by international visitors, and virtual events and webinars

  • Coordinating briefing documents, gifts, programs/agendas, presentations, minutes and follow-up actions as relevant to each visit and event

  • Developing and managing budgeting requirements for events and visits, in consultation Global Partnerships staff

  • Assisting in the maintenance of records, filing, archiving and document tracking

  • Other duties as required including some work outside standard business hours (flex-time arrangements available)

    About You

    Essential

  • A completed undergraduate degree in event management, business administration, or a related area, with subsequent relevant experience and/or education/training

  • Experience working with high-level and senior dignitaries/leaders, including the application of associated protocols and etiquette

  • Demonstrated experience in the coordination of a range of events, including managing budgets, expenditure, and logistics

  • Demonstrated effective organisational and planning skills including excellent attention to detail and time management skills

  • Demonstrated computer proficiency with Microsoft Office (particularly Word, Outlook, PowerPoint, and Excel) and intermediate knowledge of Adobe InDesign

  • Excellent oral and written communication skills with proven experience in client liaison and an interest in communicating and interacting with people from diverse cultures

  • Demonstrated commitment to high customer service standards and excellent interpersonal skills, including the ability to liaise effectively with a range of external and internal stakeholders including senior University staff, academics, and suppliers

  • Ability to work both independently and collaboratively within a team, and to apply problem solving skills to find innovative solutions

  • Desirable

  • Experience developing even- related communications, including webpages and digital invitations

  • Experience planning and delivering Senior Executive Missions overseas

  • Experience using Drupal and Vision6 content management systems

  • An understanding of the broader University context

  • What We Can Offer

    This is a Full-time , 100 % FTE, Fixed-term position through to March 2024 at HEW Level 6.

    The full-time equivalent base salary will be in the range $82,399.95 - $88,503.79 plus super of up to 17 %. The total FTE package will be in the range $96,407.95 - $103,549.43 per annum.
