Position Description Coordinates a section in a department that has institutional oversight responsibilities. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program or departmental project as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and/or students.

Major/Essential Functions

  • Assists the Senior Managing Director for the Office of Institutional Research and Effectiveness (OIRE) with coordination of project work flow and communications, project management, coordination of activities/events, and maintenance of essential office functions.
  • Serves as the main administrative support for scheduling appointments, organizing office documents, managing office filing systems, receiving and directing incoming communications and requests, on behalf of the OIRE Senior Managing Director and OIRE professional staff.
  • Coordinates major institutional projects involving offices/ departments across TTUHSCEP campus, to include the coordination of communications, monitoring of timelines, scheduling events/activities, and related operational processes.
  • Coordinates institutional committee meetings and task force meetings; prepares and distributes meeting materials; takes/distributes/stores minutes, etc.
  • Coordinates data/information collection procedures, to include distribution of data collection forms, sending e-mail requests, monitoring of data/information submissions and tracking/organization of files received.
  • Utilizes MS Office software (e.g. Word, Publisher, Excel, etc.) to edit at visual depictions of information and data, including charts, graphs, tables, and diagrams for reporting purposes; assist with preparations and publications using software (i.e. PowerPoint, Adobe).
  • Utilizes MS Office products web-based applications/databases for data/information entry, retrieval, organization and storage.
  • Perform web-based research to assist the OIRE Senior Managing Director with new degree/certificate program proposals. Search online databases (i.e. Texas Medical Board, Texas State Board of Dental Examiners) to compile information as part of institutional research projects demonstrating degree program needs and ongoing data collection on program outcomes.
  • Coordinate institutional trainings on Ellucian systems (i.e. Banner/Cognos, Degreeworks, etc.) for staff from various departments/units across the HSC. Collaborate with TTUHSCEP department/unit staff, IT staff, TTU System CIO staff, and contracted consultants as relevant to facilitate training planning and implementation. Manage all communications, timeline, and logistics, including technology (Cognos access, Webex, etc.). Compile and distribute training materials, including dissemination via website posting.
  • Utilizes institutional applications/web-based tools (i.e. Banner) and MS Office software (i.e. Excel) to perform budgeting procedures and functions; monitors and tracks office budgetary activities, to include ongoing tracking of expenditures; assist with annual budget planning and preparation.
  • Prepares and processes all travel, purchasing, inventory needs on behalf of OIRE.
  • Assists with website maintenance (uploading information/reports, monitoring website accuracy, some content editing, interacting with website administrators and webmasters).
  • Search online databases (i.e. Texas Medical Board, Texas State Board of Dental Examiners) to compile information as part of institutional research projects demonstrating degree program needs and ongoing data collection on program outcomes.
  • Assists with administrative support for scheduling appointments, organizing office documents, managing office filing systems, receiving and directing incoming communications and requests.
