Position Title Rotations Coordinator I Position Status Full-time Campus Western University Campus-Pomona, CA Department 1405-Clinical Education Job Summary

Provides support to the Office of Academic Affairs, College of Osteopathic Medicine of the Pacific, Clinical Rotations by assisting the Senior Manager, Associate Director, and Associate Dean of Clinical Education. Assists OMSIII and/or OMSIV students with their enrollment at the rotation sites. Collaborates with other student coordinators on team and all-staff projects. Supports COMP by developing and overseeing its relationships with campus-based faculty, adjunct/clinical faculty, clerkship directors, medical staff office personnel, and graduate medical staff regarding curriculum matters for students. Ensures OMSIII and/or OMSIV students secure and complete core and elective clinical rotations as required by the COMP curriculum.

Knowledge, Skills and Abilities

Individuals must possess these knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

1. Excellent computer skills. Required to set up document formats in Word, Excel, Access, PowerPoint, Outlook, and any other software program required by the position. Able to type at least 45 words per minute. 2. Excellent verbal and written communication skills. Ability to interact with administration, faculty, staff, and students. 3. Excellent mathematical and problem-solving skills. 4. Excellent ability to organize and prioritize workload in order to meet necessary deadlines. 5. Ability to handle detail-oriented assignments and be flexible with job assignments.

Required Qualifications

Minimum Education: AA degree and/or combined experience/education as substitute for minimum education

Minimum Experience: 2-3 years clerical office experience

Essential Job Duties

Job Duties

Assists OMSIII and/or OMSIV with scheduling of clinical and virtual rotations with COMP's clinical preceptors and/or rotation sites, and ensuring that OMSIII and/or OMS IV have met all site eligibility and prerequisite requirements.

Percentage Of Time 15 Job Duties

Advises, counsels and assists OMSIII and/or OMSIV in selecting and securing rotations at clinical rotation sites. Following up with OMSIII and/or OMSIV regarding rotation status. Ensures student compliance with the policies and procedures according to the COMP Clinical Education Manual.

Percentage Of Time 20 Job Duties

Ensures all OMSIII and/or OMSIV rotations are confirmed. Provides all information necessary to commence and complete the rotation; including the location, clearance/on-boarding requirements, site applications and orientation procedures for each site.

Percentage Of Time 15 Job Duties

Assists the department with urgent issues, including all student matters that are of an emergent nature.

Percentage Of Time 10 Job Duties

In a professional manner, works with students, faculty, preceptors and rotations sites in coordinating adjustments and modifications as necessary to rotations and schedules.

Continual training on all application services to provide support for OMSIII and/or OMSIV for online application services including but not limited to: VSAS/VLSO, ClinicianNexus, MyClinicalExchange.

Percentage Of Time 5 Job Duties

Communicates and educates OMSIII and/or OMSIV by way of oral presentations, newsletters, emails, student meetings, etc., on any clinical education information, rotation updates, rotation reminders, general announcements and/or policy updates.

Serves as liaison between faculty, preceptors and students on a range of academic, administrative and/or personal issues as required. Provides prompt feedback to administration regarding problems and successes.

Provides support and may help assist in College wide and/or University events, including but not limited to: didactic/conference weeks, Welcome Week, Convocation/White Coat Ceremony and Graduation.

Provides system support to department by assisting with data entry within COMP databases. Operates numerous databases and programs and provides user feedback on an ongoing basis to streamline processes.
