Position Title Registration Coordinator

Position Summary

The Coordinator of Registration is responsible for managing the university registration processes for all schools to include academic course scheduling and coordinating space scheduling. Position is also responsible for managing the Registration team to ensure adds/drops are appropriately recorded and documented. The Coordinator of Registration reports to Associate Registrar.

This position is considered a “Responsible Employee” under Title IX federal regulations and “Mandatory Reporter” under Texas state law and the UIW Sexual Misconduct Policy. As a Mandatory Reporter, this position requires you as the employee to promptly report any incident that you witness or receive information about Title IX violations. These reporting responsibilities are set out in the UIW Sexual Misconduct Policy.

Description of Job Duties

  • Creates all phases of the Broadway campus academic course schedule, including course data entry.
  • Collaborates with academic departments to create a conflict-free, accurate schedule that balances efficiency, department, needs and university policy for each semester.
  • Assists with professional school course schedule development as requested.
  • Works with Registrar to create and update curriculum relative to Banner input

  • Manages and maintains grade-related processes to include grade recording and input, changes, and other updates for all student populations.
  • Maintains appropriate protocols for documenting student grade records.

  • Manages registration escalations from Registrar and other institutional staff for the Broadway Campus student population.
  • Processes and manages records and communication related to withdrawals, to include admissions and School of Professional Studies withdrawals.
  • Processes study abroad registration and serves as primary contact with the Office of Study Abroad.
  • Manages procedures and processing for inter-institutional enrollment.
  • Oversees independent study enrollment for the university.
  • Documents student registration records in accordance with policy.

    Description of Job Duties

  • Facilitates semester-start processing, to include confirmation of attendance and registration purging for Broadway Campus; also serves as an alternate for the professional school population.
  • Executes term-end processing, to include grade-rolling, academic standing, and dean's list determination, also serving as an alternate for the professional school population.
  • Sets-up and maintains wait-list functionality in the student information system.

  • Oversees the daily operations of the Registration Team.
  • Provides campus-wide training of new users to Banner Registration.
  • Serves as key contact for academic units relative to course scheduled.
  • Maintains accurate registration schedules.
  • Assists with the formation of an academic calendar.
  • Serves as backup to the Associate Registrar of Technology and Registration Services.

  • Oversees campus space management software, 25Live, set-up for each semester.
  • Assists with developing and maintaining manuals for registration-related systems and duties.
  • Serves as a secondary registration trainer for advising onboarding and others in the university community.

  • Qualifications

    Knowledge Skills and Abilities

  • Experience with Ellucian Banner System.
  • Experience with Microsoft Office.
  • Strong ability to work in a fast-paced environment.
  • Detail oriented in all areas of work performance.
  • Proficiency in managing multiple priorities while maintaining deadlines.
  • Strong commitment to delivering customer service in a professional manner, as extensive contact with customers is required.
  • Capacity to observe FERPA, HIPAA, and general confidentiality protocols in the maintenance of student records.
  • Ability and willingness to work effectively with individuals of diverse communities, cultures, and backgrounds.
  • Commitment to adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.
  • Required Education

    Bachelor's Degree from accredited college or university.

    Required Work Experience

  • Two (2) years of direct experience with Ellucian Banner.
  • One (1) year experience with registration systems/software.
  • Preferred Qualifications

    Team leadership experience.

    Mon to Fri 8am to 5pm with extended hours as needed to meet departmental goals.
