Job Description:

The Registrar supports the Academic Dean with general knowledge of accreditation requirements, academic procedures, student requests, and student files. The Registrar is responsible for assisting and advising students with registration, course planning, and graduation readiness. The Registrar may assist faculty and visiting faculty in grade posting, administering exams and course document posting. The Registrar is responsible for internal and external annual enrollment analysis and reporting.

Specific Responsibilities

30% Assist the Academic Dean Help develop upcoming schedules; advise in regard to student requests concerning withdrawals, directed studies, cross registration, extensions, change of degree, drop/add requests, graduation, transfer credits, and visiting students; help assess transfer requests from applicants and new students; conduct course evaluations at the end of each term; assist in preparing and conducting Juried Reviews and Dean Day each May; coordinate summary reports of the findings from the ESQ, GSQ and ASQ; submit the annual Honoraria budget; assist the Dean with any special projects or requests as needed.

35% Assist Students Handle all transcript requests; perform student audits and advise students regarding class selections and schedules; maintain student files (soft and hard copy); update academic forms and assist with withdrawals, directed studies, cross registration, extensions, change of address, change of degree, drop/add, graduation, transfer, visiting student; provide support to event planner for Graduation Ceremony, assist with New Student Orientation in August and February; organize and oversee final exam process in December and May; schedule any onsite exam proctor sessions and communicate exam proctor policy; grade catechism and English Bible exams; conduct the Senior Exit Interviews each May and submit summary report to the Academic Dean.

10% Assist Faculty and Visiting Faculty Update the RTS website for upcoming syllabi; request updates for faculty biographies and new staff information; organize and oversee final exam process in December and May; monitor arrangements for midterm exams outside of class, advise TA's as needed; work with DMin program director regarding academic records and tracking, as well as managing continuation fees and course extension fees.

20% Internal and External Registration Reporting Run reports and analyze data for the institution on a quarterly basis for total credit hours and a biannual basis for total headcount; Consolidate information in user-friendly format to share with key faculty, staff and board members; work with the Provost's office to improve reporting; complete annual ATS reports including the Fall Enrollment Report, various Student Questionnaires, the NC religious exemption report, and Mecklenburg County enrollment reporting.

5% Assist Other Campuses, Graduates and Community Work with other campus registrars on best practices; send necessary files and documentation to other campus registrars in regard to student transfers and requests; help visiting students from other local seminaries take classes at RTS through the Carolina Consortium agreement; assist other visiting students as needed.

Position Qualifications:

Competencies and Skills

  • A B.S. or B.A. degree at a minimum is preferred, but not required.
  • Display a desire to help impact the world through supporting students and faculty in seminary education.
  • Strong communication, interpersonal skills, and organizational/project management skills.
  • Advanced spreadsheet and database skills.
  • Detailed knowledge of all degree programs, accreditation requirements, and graduation requirements.
  • Ability to dialogue with current and potential students in matters concerning academics and course planning
  • Ability to work with a team and be flexible.

  • Hours and Benefits This position is currently a full-time position. Work hours on campus are usually from 8:30 am-4:30 pm but are flexible as needed.
