Job Summary
The Program Manger will perform a variety of high-level duties to fully
support the success of the Enhanced Post Baccalaureate Certificate Program in
Pre-Medicine at Charles R. Drew University of Medicine and Science.
Essential Duties
Academic Administrative Support for Program Director:
Provide confidential, administrative support to the Director of the
Enhanced Post Baccalaureate Program
Maintain calendar, and make conference, travel, and lodging arrangements
for Director and Post Baccalaureate Students
Schedule and coordinate meetings, arrange logistics and prepare materials
Work with Director and grant writer to develop innovative and successful
grant proposals to support state-of-the-art educational activities and
program supplements.
Work closely with the Program Director to reconcile program budget monthly
Prepare draft letters of recommendation for Post Baccalaureate students
Academic Administrative Support for Program Students:
Work with Director to organize opportunities for students to achieve
academic and wellness success at CDU.
Ensure confidentiality and control access to sensitive student
information.
Maintain student's confidential files ensuring quick retrieval.
Collect and organize student data and determine appropriate formats for
displaying results.
Answer student questions & inquiries, schedule meetings with students and
prepare appropriate materials.
Answer Post Baccalaureate applicant questions & inquiries, schedule
meetings and interviews with applicants and prepare appropriate materials.
Make travel, conference and meeting arrangements for program students and
Director.
Work with Director to organize educational and cultural monthly
experiences for students.
Work with Director to improve all aspects of the student recruitment,
interview, acceptance and matriculation processes.
Work with Director to maintain accurate and complete program data and
statistics related to the number of applicants, interviewees, acceptance
rates and status of enrolled students and alumni. Use data for process
improvement.
Process all program and student reimbursements.
Work with Director to order student and conference materials from approved
vendors.
Work with the Director to ensure students have access to various resources
as appropriate to support academic success.
Work with the Director to organize opportunities for student make informed
decisions regarding their academic progress
Prepare student academic plans and monitor student progress monthly
Work with the Director and Program Manager of Pre-Medical Academy to
organize workshops and group trainings centered on health-disparities,
professionalism, pre-professional school applications, professional school
mock-interviews and special courses.
Academic Program Support:
Execute special projects, monitor deadlines, and initiate follow-up as
assigned by Dean or Director.
Work with telecommunications, information systems, vendors, travel
services, and facilities as needed.
Work with the Dean and Director to write correspondence, reports,
memoranda, and special reports for the Enhanced Post-Baccalaureate
Program.
Work with the Director to collect and organize data and determine
appropriate formats for displaying results.
Work with the Director to design and conduct student information sessions.
Work with the Director to coordinate activities of program with inter-
related activities of other programs, departments or staff in compliance
with appropriate policies, procedures and specifications.
Respond to inquiries and requests for information requiring knowledge of
departmental and University policies and procedures.
Respond to inquiries from CDU PB prospective applicants on Post-Cas.
Responsible for day to day management of Post-Cas application process
With Dean and Director, collaborate with the CDU enrollment management
team to create and implement marketing strategies for the CDU Post-
Baccalaureate program including writing catalog, PowerPoints, FAQ's,
brochure and/or promotional copy.
Interact and maintain liaison with students, faculty, staff and
outside/community agencies in facilitating program objectives.
Order and maintain office and academic supplies.
Order food for meetings, classes, conferences and process reimbursements
in a timely manner.
Perform logistical work required related to organizing pre-health
professional conferences or meetings
Represents the program professionally in its relationships with the
University, community, government agencies, professional societies and
similar groups; establishes and maintains rapport with respective
departments and organizations.
Build and maintain excellent relations with internal and external
stakeholders to ensure a quality program for our students.
With the Director, respond to external inquiries, conducts rudimentary
needs analyses and nurtures relevant relationships to support student
success in achieving medical school admission.
Contribute to the overall function and success of the PreMed
Academy/Enhanced Post Baccalaureate Program and division of Undergraduate
and Graduate Studies.
Perform other related duties as assigned.
Required Qualifications
EDUCATION :
Regionally-accredited undergraduate degree required; and/or equivalent of
combine education and experience in the related field.
EXPERIENCE :
2-3 years' experience in an education, healthcare or University program.
Experience with software technology; strong technical aptitude.

Ability to assess new situations and adapt quickly.
Ability to follow instructions.
Aptitude to understand and assess complex problems and propose solutions
after careful consideration.
Records maintenance skills.
Detail oriented.
Demonstrated ability to form successful collaborations with science
instructors, medical and science departments, and health professional
associations.
Preferred Qualifications
Master's degree is preferred.
