Summary of Purpose

Provide administrative support to the Masters of Biomedical Sciences Program including admissions, orientation, databases, publications, special events and programs.

Primary Duties & Responsibilities

  • Field queries and solve problems for students, applicants, and faculty
  • Plan and coordinate key MBS functions, including admissions, student records and special events. Key events: Orientation; Graduation; Holiday party; Faculty meetings; Research/Scholarly Day
  • Maintain student records in accordance with program and institutional guidelines
  • Manage reporting and analysis of information in assigned database and student files; maintenance, design and development of reporting systems for the MBS program to include; running queries and adding fields.
  • Collect and maintain student and alumni data
  • Prepare and distribute correspondence in support of program to faculty, students, applicants and alumni
  • Assist in preparation of MBS training grant and progress reports for NIH or other grantors
  • Assist in preparation of submission for posters, presentations at national meeting (such as AAMC).
  • Assist in preparation of and submission of manuscripts.
  • Collect data and prepare reports as directed by supervisor
  • Supervise MBS tutors, TAs, and Temporary employees to include giving work assignments and approve electronic time cards.
  • Manage interfaces with other academic and administrative units.
  • Assume responsibilities of MBS Administrative Manager when delegated, such as through absence.
  • Represent the MBS program as needed.
  • Assist in coordinating the preparation of operational and capital budgets, financial statements, statistical report, cost analyses and other financial information for the MBS Program. Oversight includes, budgeting, reconciliation and reporting.

    Ability to manage multiple projects simultaneously and independently, working with a diverse faculty and staff. Must demonstrate initiative, be able to set priorities, be comfortable with making decisions, delegate responsibilities and supervise outcomes. Strong communication skills, a warm & professional demeanor, and commitment to the program goals are essential. Must speak with authority and be able to manage complex relationships. Must be willing to work weekend and evening occasionally. This position may include occasional travel.

    Minimum Qualifications

    Education

    Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

    Experience

    Work requires one year of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.

    Skills

    Ability to provide guidance and direction to subordinates, including setting standards and monitoring performance.

    Skills using logic and reasoning to identify the strengths and weaknesses of alternative solutions to problems.

    Skills evaluating program performance, summarizing findings, communicating results, and forming an action plan.

    Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, and coordination of people and resources.
