Position Description Supports all program directors by performing administrative duties related to planning, directing and coordinating both the academic and operational activities of the program.

Major/Essential Functions

  • Coordination of the psychology training program through planning training activities, communicating with presenters, overseeing trainees' calendars, and reserving training spaces. Will communicate within established deadlines with appropriated parties. Will ensure timely submission and accreditation for CME approval, as well as all necessary arrangements for presentations.
  • Coordination of assistance program including monitoring dedicated phone/ email, responding promptly to requests for services, scheduling services, tracking utilization of services, and preparing the appropriate reports. Prepares and distributes reports in within established deadlines. Must alert the program director (PD) of program updates, regulation changes and participation enrollment within 1-2 business days of notification.
  • Coordinates adult outpatient services through tracking incoming referrals, presenting referrals to faculty during referral meetings, tracking plan for each referral, and implementing plan by verifying benefits, scheduling, or referring out. Ensures deadlines for statistical reporting and report preparation is done within deadline established.
  • Communicates with psychiatry resident psychotherapy coordinator to track residents' availability to accept new psychotherapy patients, facilitate communication of availability/referral assignment between psychology and resident coordinator. Must Coordinate residency related issues within timelines of program.
  • Provides administrative support for trainees' clinical work through tracking clinical caseload and availability to accept new patients. Must maintain databases and excel spreadsheets on program participants.
  • Other Duties as requested by Department Faculty and Department administrator. Perform other related duties that will relieve the Department Administrator of detail situation in both department and clinic settings.

  • Must be proficient with Microsoft Office software.
  • Be able to handle various tasks simultaneously.
  • Working knowledge of medical and scientific terminology.
  • Proficiency in the Spanish language.
  • Bachelor Degree.
