Position Description
The primary responsibility is to ensure, organize, and maintain an active,
accurate, and operational surgery schedule. Interfaces with appropriate
hospital staff to ensure a cohesive working relationship in providing patient
care services. Works in close contact with surgeons and doctors to manage
their organizations and departments' surgeries. Schedule patient appointments
for outpatient surgery in a hospital or healthcare facility.

Major/Essential Functions
Coordinates the surgery schedule for one or more doctors, informs doctors
and patients of any changes to the schedule and communicates with the
surgical team and with patients regularly so that everyone is well
informed of the plan for the day of surgery.
Schedule procedures from the physician's office using established hospital
guidelines and ensure sufficient information is distributed to the
patients and all necessary parties, including hospital departments,
primary-care physicians, and surgeons, through productive open, and
effective communication.
Maintain the surgical scheduling system. Create a daily surgery schedule
and surgical log for all departments concerned. Schedule patients for
surgical procedures. Complete patient paperwork for scheduling. Ensure
that all required equipment is ready for appointments. Verify physician
orders. Responds to calls, e-mails, complaints, and queries that patients
might have. Provide information and updates in regards to patients'
surgery schedules. Assure appropriate coordination with other hospital
departments when special surgical needs occur.
Schedule surgical procedures by phone or in person. Perform clerical
duties such as answering phones, maintaining records and accounts, and
greeting patients. Enter notes/special instructions needed for scheduling
in electronic medical records. Completes accurate documentation of
informed consent with patients for procedures and surgeries as needed.
Confirms the patient's insurance provider and either obtains prior
authorization or communicates the need for prior authorization to
appropriate parties as needed.

Pay Statement
Compensation is commensurate upon the qualifications of the individual
selected and budgetary guidelines of the hiring department, as well as, the
institutional pay plan. For additional information, please reference the

Occasional Duties
Coordinates operating rooms, schedules of surgeons and assistants needed
(combine cases), for the procedure and equipment. Gathers and records
financial and insurance information. Take reservations for surgeries and
schedule a date based on the availability of the surgeon and the medical
conditions of the patients.
Provides accurate, detailed information to patients regarding test
preparations, time of patients' scheduled arrival, and any other
directional information needed: takes appropriate action in responding to
questions from patients. Duties involve making appointments, changing
appointments, and canceling appointments or surgeries.
Ensures patients have proper medical clearance and pre-surgical testing as
needed. Completes pre-procedure phone calls and confirms appointment times
with patients via telephone as needed.
Provide monthly reports to Administrator, Department Chair and Providers.
All other duties assigned by the Department Chairperson and Department
Administrator.
