POSITION TITLE : Program Coordinator, Assessment and Student Success

DEPARTMENT: Graduate Student Affairs

POSITION SUMMARY :

Reporting to the Associate Dean for Graduate Programs, the program coordinator will provide programmatic and administrative support to Graduate Student Affairs (GSA). The role will assist in the coordination and implementation of graduate student professional development activities, GSA assessment activities, data analysis, and providing insight to enhance the effectiveness of GSA services offered to graduate students. The coordinator collaborates with various campus stakeholders to ensure data-driven decision-making and continuous improvement within GSA.

DUTIES & WORK PERFORMED:

1. Assessment and Data Analysis: 40%

  • Assessment Planning and Coordination
  • Collaborate with GSA staff to develop assessment plans and strategies to evaluate the effectiveness of programs and services.
  • Coordinate the collection, organization, and analysis of assessment data.
  • Maintain documentation and records related to assessment processes and outcomes.
  • Data Analysis and Reporting
  • Interpret assessment results and prepare comprehensive reports and presentations to communicate findings.
  • Develop data visualizations, dashboards, and other tools to effectively present assessment data in a clear and meaningful way.
  • Program Evaluation and Improvement
  • Work closely with the Associate Dean to ensure data-driven decision-making and inform programmatic improvements.
  • Analyze data to identify strengths, weaknesses, and areas for improvement within GSA.
  • Monitor and evaluate the impact of improvement efforts and revise strategies as needed.
  • Offer guidance on best practices in assessment and data analysis to promote a culture of continuous improvement within GSA.
  • Collaboration and Communication
  • Collaborate with other stakeholders and external partners to coordinate assessment efforts and share best practices.
  • Maintain effective communication channels to facilitate the exchange of assessment-related information and promote data-informed decision-making.
  • Participate in meetings, committees, and professional development activities related to assessment and data analysis in graduate education.
  • 2. Professional Development: 40%

  • Communications
  • Prepare weekly professional development newsletters by curating and compiling content and distributing with the school's preferred newsletter software (currently iContact).
  • Assist in targeted marketing efforts for professional development programming with departments/programs, student organizations, and alumni through channels such as the GPSG newsletter, Duke events calendar, LinkedIn, the Duke Alumni Network, and others.
  • Facilitate student connections with alumni through the Alumni Profiles series; ensure accuracy and quality of final profiles before publication.
  • Assist in maintaining professional development website content.
  • Help to create, market, and facilitate information sessions and other publicity to promote new professional development initiatives as needed.
  • Program Administration

  • Track student attendance in professional development workshops and programs.

  • Collect and compile evaluation and assessment feedback on professional development workshops and programs.
  • Track alumni engagement with professional development initiatives.
  • Prepare Professional Development Grant proposal materials for selection committee and Dean's review, coordinate funding transfers, and maintain records.
  • Purchasing and reconciliation administration for professional development area.
  • 3. Administration and Other Duties: 20%

  • Support the student hardship application process and serve on the hardship committee. Collate data from hardship applications to provide reporting on trends and assist in developing criteria to standardize decisions.
  • Support GSA Liaisons & Graduate Student Affairs Advisory Committee initiatives by maintaining updated minutes and rosters. Track topics of concern and prepare updates for group members between meetings using data and narratives.
  • Support the associate dean's duties: scheduling meetings, sending follow up materials; coordinating meeting arrangements, assisting with the prepation of documents, etc.
  • Perform other related duties incidental to the work described herein.
  • Qualifications:

  • A bachelor's or above degree in a relevant field (e.g., social sciences, research methods, statistics).
  • Previous experience in professional development, assessment and data analysis in a higher education or graduate student affairs setting is highly desirable.
  • Strong analytical and critical thinking skills, with the ability to derive meaningful insights from complex data sets.
  • Excellent written and verbal communication skills to effectively communicate assessment findings to diverse audiences.
  • Detail-oriented and highly organized, with the ability to mange multiple projects and meet deadlines.
  • Demonstrated ability to work collaboratively in a team-oriented environment.

    Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program

    Experience

    Work requires one year of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
