Posting Summary

The primary purpose of the Program Assistant position is to assist the Cancer Institute of New Jersey Cancer Health Equity team with study initiation, participant recruitment, and collecting data from studies.

This position is responsible for study startup procedures and developing study materials, as well as screening, consenting, and enrolling participants, and ensuring the accuracy of data collected from research participants, information transcribed from patient medical records/survey forms and other sources onto study specific case report forms or into electronic data capture systems.

May also assist with intervention implementation and fidelity checks. Ensures protocol compliance per Food and Drug Administration (FDA), National Institutes of Health (NIH), Code of Federal Regulations (CFR), Good Clinical Practice (GCP) guidelines, Office for Human Research Protection (OHRP), Health Insurance Portability and Accountability Act (HIPAA), institutional guidelines and standard operating procedures (SOPs) set forth by Rutgers Cancer Institute of New Jersey and Rutgers Biomedical and Health Sciences (RBHS) and as explicated in study specific procedures.

This position is contingent upon grant funding.

Essential duties and responsibilities:

  • Develops study materials and participates in study initiation and regulatory activities, including IRB submissions and database creation.
  • Recruits participants, conducts informed consent, and collects data for assigned research studies according to protocols.
  • Conducts study assessments, interviews, and/or interventions with participants, maintaining adherence to protocols. May conduct qualitative data analysis. Submits to regular evaluations for intervention quality assurance.
  • Works with complex computerized records systems and maintains security and integrity.
  • In collaboration with the leadership, study staff and other research staff, contractors, physicians and/or other health providers, obtain source documents (i.e. medical record documentation) as needed. Submits specialized reports as needed.
  • Maintains research record (e.g. patient consent, eligibility, Case Report Forms (CRF), surveys, participant correspondence, intervention materials, registration confirmation, corresponding source documents, etc.) for all study participants.
  • Under guidance of his/her direct supervisor, performs abstraction of data from source records in human subject charts (i.e., treatments, patient- reported data, clinical exams, laboratory or diagnostic test results, adverse reactions, ARIA and EPIC, etc.); abstraction of data from publications, or data collection from clinics, physician offices, or contractors. According to protocol guidelines, records all patient data as required onto study specific Case Report Forms or into designed electronic data capture system.
  • Enters data into the relevant data collection forms and/or databases as per established protocol or project timelines. For protocols, this time should not exceed 10 days after each human subject contact.
  • Completes queries regarding data inconsistencies and revises case report forms in compliance with standard operating procedures. Actively participates in ongoing research specific quality assurance activities such as chart audits for protocol compliance.
  • Using study-specific databases and protocols, provides regular reports to the Principal Investigator and supervisor on all studies to which he/she is assigned.
  • Actively participates in study-related meetings and conference calls.
  • Communicates effectively with staff and outside agencies, and assists in the promotion of teamwork.
  • Maintains up-to-date knowledge and adheres to policies and procedures set forth by RBHS, Cancer Institute of New Jersey, NIH, Food and Drug Administration, and all relevant regulatory bodies.
  • Understands and adheres to Rutgers' compliance standards as they appear in RBHS's Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy. Understands, demonstrates and models the Rutgers Cancer Institute of New Jersey core values.

    Qualifications

    Minimum Education and Experience

  • Bachelor's Degree in a relevant science or related field (e.g. Public Health, Biology, Psychology, etc.)
  • Applicants may substitute additional related experience such as laboratory, clinical or medical experience for the education requirements on a year-for-year basis.
  • Certifications/Licenses Required Knowledge, Skills, and Abilities

  • Prior experience with REDCap required.
  • Must be able to work some weekend evenings and Saturdays as needed (within the usual workweek).
  • Must be computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, Access, and PowerPoint.
  • English fluency required.
  • The ideal candidate will be detail-oriented, have excellent organizational, critical thinking skills, problem solving skills and interpersonal skills, holds self accountable to high standards of professional excellence, be able to maximize resources and be efficient, seek and accept personal and professional responsibility and growth on a continued basis.
  • Effective oral and written communication skills required.
  • This position is based in New Brunswick but may require travel to study sites in Newark, Piscataway, and other NJ locations.
  • This position may also operate on a hybrid remote basis.
  • Preferred Qualifications

  • Prior experience in human subject research with cancer patients and survivors, qualitative data analysis, and behavioral intervention research studies preferred.
