Position Title Processing Specialist

Requisition # S01150P FLSA Non-Exempt Location IIT-Mies Campus (MC), 10 West 35th St., Chicago Department Graduate and Professional Admission GENERAL DESCRIPTION

Work within Graduate Admission to process applications to Graduate level programs. Under direction of the Application Operations Manager, conduct daily activities that facilitate decision making by academic units, admission committees/faculty and staff through a web-based decision support application. Maintain integrity of application/applicant data by resolving errors with application data or system errors.

Communicate and assist applicants with questions related to the application process and requirements for submission.

Manage and perform ancillary admission services, including admission material creation and shipment, act as a designated school official (DSO), applicant data entry and refund processing.

COMMUNICATIONS

Communicates with internal faculty and department coordinators as well as applicants and admitted students via both phone and email.

CUSTOMER SERVICE

Represents IIT in a positive manner and provides a friendly atmosphere conducive to gaining student enrollment. Inquiries are received by e-mail, phone or walk- ins.

This position is full-time seasonal (September-May)

Qualifications

Education & Experience

College degree preferred or the equivalent of education and experience with graduate admission processes for domestic and international applicants.

Knowledge & Skills

Must have strong organizational skills, proficiency in Microsoft Office products, and enjoy working in a fast-paced, deadline oriented setting. Strong problem-solving and critical-thinking skills required. Ability to maintain efficiency and accuracy in a fast-paced, deadline oriented setting

90% of time working at computer. 10% in meetings or recruitment events.

Key Responsibilities

Key Responsibility

Annually evaluate approximately 3,500 graduate applications and reviews applicant's' applications to ensure application meets needs and requirements of institution and department for review. Perform credential conversion on all international applications to 4.0 scale. Application review and credential conversion must be processed within 7-10 days of application complete date, depending on time of year and volume.

Reviews admissions decisions and processing final review of application within 48 hours of decision.

Review international student financial support information for creation of an I-20 within 48 hours of document submission.

Process physical admission letters for shipment on a daily basis.

Weekly review of final documents presented by admitted applicants and remove holds.

Process application and admission deferrals by students. Contact students to obtain correct shipping information if needed.

Maintains data integrity by correcting applicant and system errors. Weekly review of error reports including but not limited to, name and DOB corrections, decision entry errors, technical errors and student type errors.

Percentage Of Time 50 Key Responsibility

Act as Designated School Official (DSO) and create I-20's for international students (approximately 700 annually)

Percentage Of Time 20 Key Responsibility

Respond to internal and external communication within 2-5 business days, depending on the time of year and volume. External communication is managed within system through a queue system and is shared among all staff (Approximately 2,000 annually each).

Percentage Of Time 20 Key Responsibility

Assist other processing specialists with key responsibilities depending on time of year and volume.
