Occupational Summary

Provide overall administrative management and coordination for the transactional services performed in AED HR/Finance department reporting to the Administrative Director for HR/Finance.

The Process Improvement Data Manager will lead, manage, and oversee transaction initiators monitoring and ensuring their compliance with university policies and procedure around processing HR/Finance transactions and maintain consistency in processes and delivery of services. The Process Improvement Data Manager will ensure business continuity and adherence to procedures and proactively identify opportunities to streamline and maximize service levels to our internal customers. Ensures operational excellence by working collaboratively with the Finance, Business Manager, HR Departmental Managers and AED Departmental managers, to ensure cross-functional collaboration and alignment resulting in increased operational efficiencies.

Administrative Services

  • Serve as close advisor to the HR/Finance Administrative Director
  • Oversee team of staff that will provide day-to-day HR/Finance transactional support for Alumni Engagement and Development.
  • Partner with HR and Finance managers to ensure transactions are processed according to Duke policies and procedures.
  • Develop and present operational reports for HR/Finance Team
  • Routinely monitor and evaluate the efficiency and effectiveness of service delivery and the quality of service.
  • Coordinate training and routine staff development for transactional team
  • Conduct workshop and training sessions with AED managers around business processes.
  • Meet regularly with Departments responsible financial people to provide status of transactional support work status and resolve any issues.
  • Work directly with managers to develop a plan to cover business gaps as they occur.
  • Provide consultation and guidance to managers as needed, in day-to-day transactional operations and process improvement recommendations.
  • Responsible for developing, coordinating, and steering the training and development of new and existing administrative support team that builds a culture of success.
  • Develop and monitor key performance metrics for the administrative support team.
  • Project Management

  • Identify and facilitate cross-functional workgroups to develop, deliver, operationalize, document and support HR/Finance projects and solutions.
  • Lead and/or manage HR/Finance business improvement processes and strategic initiatives.
  • Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative and/or recommendations to achieve the goals of the HR/Finance program or function.
  • Organize and/or participate in HR/Finance outreach activities that may include developing communications and training, planning/promoting events with our internal customers.
  • Management Duties – Manager

  • Representative Duties - Appropriately represent Duke University as “employer” to direct reports and direct reports as “employees” to Duke University
  • Programmatic Duties - Ensure alignment of given programmatic, departmental, and/or organization-wide activities with AED strategic goals, priorities, and expectations.
  • Financial Duties - Exercise fiduciary responsibility for given individual, programmatic, departmental, and/or organization-wide activities in accordance with Duke's financial policies, procedures, and standards, and AED expectations.
  • Personnel Duties: Supervise direct reports in accordance with Duke's human resource policies, procedures, and standards, and AED expectations.
  • Personnel Duties: Hire & Onboard new employees (and offboard separating employees) in accordance with programmatic, departmental, and organization-wide priorities, Duke's human resource policies, procedures, and standards, and AED expectations.
  • Skills

  • Strong computer skills; proficient in SAP/R3, Excel, Word, and PowerPoint experience desired
  • Highly self-motivated and team-oriented
  • Possess excellent oral and written communication skills
  • Ability to analyze financial data
  • Strong planning and organizational skills; ability to interact effectively with a broad range of (AED) Alumni Engagement and Development.
  • Minimum Qualifications Education

    Work requires knowledge and skills generally acquired through completion of a Bachelor's degree program in business, computer science, mathematics, statistics or social sciences.

    Experience

    Work requires knowledge of both statistical analysis and interpretation generally acquired through at least two years of relevant experience.
