Description of Job Duties
Job Summary:
Reporting to the Chief of Staff to the President, the Executive Assistant to
the President manages the daily operation of the Office of the President and
of the President's Conference Room in the Hays Administration Building.
Description of Job Duties:
Maintain the President's schedule
Schedule meetings for the President and special committees
Set up zoom meetings and assist with technology in the President's
Conference Room
Interact with campus administrators acting as a liaison for the office in
the absence of the President and/or the Chief of Staff to the President
Greet and assist office walk-in and telephone visitors
Calculate and prepare reports for internal and external bodies and
stakeholders
Perform general clerical work
Type a variety of reports, letters, and documents
Access reports within a variety of databases
Utilize a variety of software tools and platforms
Retrieve and route incoming mail within the Department
Maintain a variety of University records
Meet deadlines
Maintain and balance departmental budget. This includes submission of
purchase orders and use of purchase card
Assist in the completion, submission, and maintenance of travel requests,
office supplies, and inventory
Competencies:

tasks appropriately prioritized
Remains knowledgeable applicable regulations, policies, and protocols
Ability to work with, assist, lead, and take directions from others in the
interest of moving processes and programs forward to the desired outcome

Expectation of on-campus presence with attendance and punctuality

Education and Experience
Minimum Requirements:
Three years' experience as an office manager or acceptable equivalent
experience
Strong written, verbal, math, and interpersonal skills
Proficiency knowledge/experience of Microsoft Office
Utilize office equipment
Demonstrated knowledge of office management, records keeping, and/or
bookkeeping
Preferred Qualifications:
Bachelor's degree
Fluency in Microsoft Outlook Calendars and Power Point or willingness to
learn quickly
Such alternatives to the above qualifications as the President of SWOSU or
their designee may find appropriate
