Job Description:

The WKU Potter College of Arts & Letters Dean's Office is seeking applicants for a intermittent part-time Office Coordinator. The position will support intermittent needs that arise through staff vacancies, leaves of absence, and other Dean's Office needs or special projects. The position may have weeks with little to no hours, and other weeks with as many as 25 hours. The position may have the option for remote work.

Responsibilities include:

  • Assistance to Academic Departments in PCAL, including but not limited to managing department emails, purchasing, tracking, and reconciling of department budgets.
  • Assistance with financial forms and systems, including EPAF, Form 16, Payment Authorization, Travel Vouchers, Inter-accounts, TopShop, TopNet, Banner, etc.
  • Assistance to Academic Departments in PCAL with course scheduling, course assignment, and processing of part-time faculty. Hiring scheduling, and time-sheet approval for student workers.
  • Assistance with PCAL reoccurring tasks, including but not limited Faculty Load and Compensation, Graduate Assistants, Scholarships, Training, etc.
  • Assistance with PCAL Dean's Office special projects.
  • Knowledge and Skills Considered Essential for Success:

  • Ability to establish priorities and work independently.
  • Organized and detail oriented with the capacity to work in an environment with frequent interruption.
  • Excellent written, verbal, and interpersonal communication skills, customer service skills, problem solving and decision-making skills, and telephone etiquette.
  • Ability to work in a team environment and interact professionally with a wide spectrum of individuals to include faculty, staff, administration, and vendors.
  • Proficiency in Microsoft Office and Google Docs.
  • Ability to learn and operate multiple software systems.
  • Requirements:

  • Two-year post-secondary education, plus at least two years related administrative experience.
